About the position

Join our HR team as a Recruiting & Onboarding Specialist at the Mid-Willamette Valley Community Action Agency! This full-time position is crucial for performing high volume recruitment, hiring, onboarding, and other essential tasks in support of the HR Department. The ideal candidate will be responsible for sourcing talented candidates for open positions, collecting applicant and hiring data, and ensuring a diverse pool of applicants is available to hiring managers. This role is key in reaching out to members of communities, including those of Black and Indigenous People of Color (BIPOC), Veterans, and other qualified individuals who possess the desire and skills needed to achieve the agency's mission. The Recruiting & Onboarding Specialist will create, edit, and post job listings on various job boards, websites, community locations, and schools. This position also involves attending and/or holding job fairs to recruit for open positions and creatively sourcing applicants to achieve desired outcomes. The specialist will advise hiring managers on interviewing qualified candidates as required under HR guidelines, review and edit interview questions for appropriateness, and assist with pre-screening and interviews as requested. Additionally, the specialist will prepare interview panel packets, collect application materials, and assist new staff with onboarding tasks on their first day. The work environment is primarily indoor office work with frequent interruptions and demands, requiring effective communication with coworkers and clients over the phone, via video conferencing, and in person. The role may involve occasional noise and distractions in workspaces, and the specialist must be able to multitask and manage time effectively, especially when handling concurrent recruitments across multiple sites and programs. Responsibilities

  • Create, edit, and post jobs on various job boards, websites, community locations, and schools.
  • Attend and/or hold job fairs to recruit for open positions.
  • Creatively source applicants to achieve applicant outcomes.
  • Advise hiring managers to interview qualified candidates as required under HR guidelines.
  • Review and edit interview questions for appropriateness and job-related relevance.
  • Assist with pre-screening, phone/video, or in-person interviews as requested.
  • Prepare interview panel packets as needed.
  • Collect application materials, interview notes, scoring sheets, and testing documents for completeness and filing once the position is filled and candidates have been notified.
  • Meet with candidates to assist with the completion of pre-employment screening items, such as driving records, reference checking, and background checks.
  • Meet with new staff on their first day for employee onboarding.
  • Perform I-9 Identification checks, administer W4s for staff to complete, and assist with other first-day onboarding tasks.

Requirements

  • Associate's Degree in Human Resources, Business Administration, or related field.
  • Three or more years of HR-related or administrative experience.
  • Experience in applicant tracking system software (ApplicantPro) preferred.
  • Experience in HRIS platforms (Datis, Paycom) preferred.
  • Basic proficiencies in computers, including MS Office (Outlook, Word, Teams, Excel) are required.
  • Knowledge of hiring best practices, including interviewing standards and etiquette.
  • Ability to communicate effectively, both written and orally, to Program Directors and Hiring Managers.
