About the position

The HR Specialist plays a crucial role in supporting employees across various HR functions, ensuring that all HR data is accurate and timely for assigned business units. This position involves managing leave of absence administration, including answering employee questions and tracking updates related to FMLA, Disability, Workers Compensation, and other leave programs. The HR Specialist is also responsible for overseeing the on- and off-boarding processes, which includes conducting on-site orientations for new hires and ensuring that all necessary data is entered into the Kronos system accurately. In addition to these responsibilities, the HR Specialist will utilize the Fresh Service HR Ticketing system to monitor and respond to HR queries from managers, ensuring that they receive accurate information in a timely manner. This role requires regular updates and audits of employee records, particularly in relation to training and development programs, as well as managing payments for the Education Reimbursement and Employee Referral Programs. The HR Specialist will also be involved in recognizing employee milestones through anniversary awards and retirement programs, maintaining accurate personnel files, and assisting with company events and employee engagement initiatives. Compliance with employment laws and regulations is essential, as is the maintenance of current compliance posters within the facility. The HR Specialist will also be expected to participate in special projects as needed for the PST and WBG business units, contributing to the overall effectiveness and efficiency of the HR department.

Responsibilities

  • Support employees in various HR areas including benefits, Kronos, SharePoint, Employment Verifications, Attendance Policy, and other general policies.
  • Ensure accurate and timely HR data for assigned business units.
  • Manage Leave of Absence Administration, including answering employee questions and tracking updates for FMLA, Disability, Workers Compensation, and other leave programs.
  • Conduct on-site orientation for all new hires as part of the on- and off-boarding processes.
  • Perform data entry of new hires and other changes in Kronos, ensuring attendance points are tracked accurately.
  • Use the Fresh Service HR Ticketing system to monitor WBG tickets and provide accurate answers to managers' queries.
  • Update and track employee records with training and development program information.
  • Ensure data accuracy and process integrity for Employee Connect, conducting regular audits and pulling routine reports as needed.
  • Track and process payments for the Education Reimbursement Program and the Employee Referral Program.
  • Manage local anniversary award and retirement recognition programs, pulling quarterly reports for milestone anniversaries.
  • Maintain accurate personnel and I9 files, conducting regular audits for accuracy.
  • Assist with company events and employee engagement initiatives.
  • Ensure compliance posters are current and posted appropriately within the facility.
  • Participate in special projects as needed for PST and WBG business.

Requirements

  • 3-6 years of experience in HR.
  • Experience with SAP/Oracle and ADP/Kronos or similar systems preferred.
  • Ability to multi-task and manage multiple responsibilities effectively.
  • Knowledge of HRIS and payroll systems and processes preferred.
  • Demonstrate knowledge of local employment laws and regulations.
  • Proficient in Microsoft products including Outlook, Word, PowerPoint, and Excel.
  • Ability to operate general office equipment such as scanning, faxing, and copying.
  • Excellent organization skills and strong attention to detail.
  • Strong written and verbal communication skills.
