About the position

Metropolitan Family Services (MFS) is seeking a dedicated HR Specialist to join our team at our headquarters in Chicago, IL. This role is pivotal in ensuring compliance and enhancing our HR systems. The HR Specialist will work collaboratively with team members to conduct and maintain up-to-date background checks and fingerprinting for all employees, including interns and volunteers. This position requires a keen focus on auditing personnel paperwork and transactions, with an emphasis on continuous improvement. The HR Specialist will notify the Director of HR Systems and Services of any discrepancies or opportunities for process enhancements that can lead to greater efficiency. In addition to auditing, the HR Specialist will engage in ongoing collaboration with HR colleagues and non-HR stakeholders to gather feedback and streamline processes. A strong partnership with the Information Systems (IS) team is essential to ensure that technology decisions and processes are aligned with HR objectives. The role also involves maintaining employee personnel files and filing systems, ensuring that all documentation is complete and accurate prior to storage in the file room or online data filing system. Conducting I9 internal audits to ensure compliance with the Department of Homeland Security is another critical function of this position. The HR Specialist will proactively prepare for and fulfill requests for program audits, make suggestions for process improvements, and lead small-scale projects to accomplish larger tasks. This position requires a Bachelor's degree in Human Resources, Information Technology, Business Administration, or a related field, along with a minimum of 3 years of relevant HR experience, particularly in audit and background processes, as well as HR systems and process improvement. Strong computer skills, particularly in Microsoft Office and Excel, are essential, along with excellent interpersonal and communication skills. The ability to prioritize tasks, maintain confidentiality, and work effectively with diverse individuals and groups is crucial for success in this role.

Responsibilities

  • Conduct and maintain up-to-date background checks and fingerprinting for all employees, including interns and volunteers.
  • Audit all personnel paperwork/transactions with a continuous improvement focus and notify the Director of HR Systems and Services of any discrepancies.

Requirements

  • Bachelor's degree in Human Resources, Information Technology, Business Administration, or related field.
  • 3+ years of relevant experience in HR, including audit and background experience as well as HR systems and process improvement.
  • Intermediate Excel skills and data reporting and analytics experience.
  • Strong computer skills, including use of Microsoft Office (Word, PowerPoint).
  • Strong interpersonal, oral, and written communication skills with the ability to problem-solve and interpret data.
  • Ability to prioritize tasks and demonstrate a high level of accuracy and attention to detail.
  • Ability to multi-task and meet deadlines in a fast-paced environment.
  • Ability to handle and maintain highly confidential information with independent judgment.
  • Ability to work effectively with diverse individuals and groups.
