About the position

The HR Specialist I position at Kansas State University is designed to support the College of Agriculture/K-State Research & Extension's Business Services Unit by ensuring smooth workflow and uninterrupted HR services. The role involves processing payroll activities, managing employee leave, conducting recruitments, and providing guidance on HR policies and procedures. The specialist will also maintain personnel records and assist with onboarding and off-boarding processes, contributing to a diverse and inclusive work environment.

Responsibilities

  • Process payroll activities for departmental employees including time and leave entry/corrections.
  • Manage FMLA, parental leave, and other leave program paperwork as necessary.
  • Maintain leave accrual records and train department employees in the use of Self Service in PeopleSoft.
  • Setup and maintain payroll funding for employees.
  • Complete payroll transfer paperwork to correct funding errors.
  • Conduct recruitments for vacant positions and complete appointment paperwork.
  • Manage orientation of new employees at the time of hire, including onboarding and goal setting.
  • Provide guidance to supervisors and employees on K-State guidelines for employment and benefits.
  • Conduct off-boarding of separating employees and maintain data in personnel database system.
  • Develop and maintain a detailed handbook of policy and procedures for assigned unit(s).
  • Complete annual key inventories and track department space availability.
  • Complete offer letters, international assistantship forms, background checks, and visa work permits.
  • Process tuition reimbursements and tuition waivers.

Requirements

  • High school diploma and two years of relevant experience.
  • Experience in recruitments, hiring, or separations.
  • Computer proficiency and ability to learn new systems, including Microsoft Office and HR systems such as PageUp, ADP, and PeopleSoft HRIS.
  • Ability to learn quickly, determine priorities, meet deadlines, and work independently.
  • Strong written and verbal communication skills with attention to detail.
  • Higher Education degree in human resource management or business field.
