About the position

The HR Specialist - Talent Acquisition position at the Chicago Transit Authority (CTA) involves providing essential administrative support in the recruitment and onboarding processes. This role is crucial for ensuring that the Authority attracts and retains top talent while maintaining a customer-centered approach. The individual in this position will be responsible for managing high-volume assignments, which requires excellent multitasking abilities and a keen attention to detail. The HR Specialist will conduct interviews and evaluations of candidates for various employment opportunities, including promotions and transfers, ensuring that the best candidates are selected for the organization. In addition to interviewing, the HR Specialist will follow up with applicants in pending statuses to ensure that all necessary items are received to complete the onboarding process in a timely manner. This includes conducting reference checks, background checks, and processing new hire paperwork. The role also involves maintaining department documents, reports, and systems, ensuring that all records are accurate and up-to-date. The HR Specialist will assist in preparing and processing documents and reports related to department personnel, distributing copies as needed, and maintaining various computer systems utilized by the department. The position requires a proactive approach to organizing and analyzing data from diverse sources, monitoring budgets against actual financial activities, and balancing multiple projects with competing priorities. The HR Specialist will work in a general office environment, utilizing standard office equipment and personal computers to perform their duties effectively.

Responsibilities

  • Conducts interviewing and evaluation of candidates for employment, promotion, or transfer.
  • Follows up with applicants in pending statuses to ensure the Authority receives items needed to complete the onboarding process in a timely manner.
  • Ensures the completion of onboarding, which may include reference checks, background checks, and new hire paperwork.
  • Maintains department documents, reports, and systems as assigned.
  • Updates department records to ensure accurate information is maintained.
  • Assists in maintaining various computer systems as utilized by department.
  • Prepares and processes documents and reports relating to department personnel and distributes copies as needed.
  • Performs related duties as assigned.

Requirements

  • Bachelor's degree in Business Administration, Management, Human Resources or a related field.
  • Two (2) years of experience in an administrative position including project management, budget management, report preparation, and/or data analysis, or an equivalent combination of education and experience.
  • Detailed knowledge of office and administrative management policies and procedures.
  • Strong computer skills, including Excel, Word, Access, and PowerPoint.
  • Good verbal and written communication skills.
  • Good research and analytical skills.
  • Good project management skills.
  • Good organizational and attention to detail skills.
