About the position

The HR Specialist at John Soules Foods plays a crucial role in supporting the Human Resources department, focusing on attendance management, recruiting, onboarding, and employee engagement. This position serves as the primary contact for attendance issues, assists in recruitment processes, and provides backup support for other HR roles, ensuring a smooth onboarding experience for new hires.

Responsibilities

  • Serve as the primary point of contact for all attendance-related matters.
  • Maintain accurate attendance records in accordance with the company’s attendance policy.
  • Weekly pull attendance reports, verify points, and update the attendance spreadsheet.
  • Distribute attendance write-ups and follow up on completion, marking as received.
  • Adjust points as necessary per the attendance policy and manage communications with supervisors and employees regarding attendance.
  • Manage application intake and screen candidates.
  • Utilize the scoring tool to evaluate candidates and track progress in the recruitment spreadsheet.
  • Assist in scheduling interviews for the Hiring Specialist.
  • Support the completion of I-9s on Mondays and back up the Hiring Specialist on recruitment processes.
  • Assist with coordinating tours with trainers and scheduling drug screens on Thursdays.
  • Send out weekly onboarding forms to supervisors, trainers, superintendents, HR, and safety teams.
  • Track and follow up with management to ensure all onboarding forms are completed and returned.
  • Organize and oversee 30/60/90 day celebrations for new hires.
  • Coordinate and manage celebration logistics, including obtaining cupcakes, printing certificates, and preparing items like keychains, cups, and sweatshirts.
  • Act as a backup for the Onboarding Generalist, delivering new hire presentations and managing the new hire paperwork process.
  • Photograph new hires and print badges, entering new hires into the GHR system.
  • Coordinate with supervisors and production trainers to pick up new hires and assign lockers to them.
  • Prepare orientation materials on Friday afternoons if the training room is available.
  • Explain benefits to new hires during orientation when necessary.
  • Assist with miscellaneous scanning tasks as needed for the HR Manager, Supervisors, and Onboarding Generalist.
  • Support employee engagement events as required.

Requirements

  • Strong organizational and communication skills.
  • Ability to manage multiple tasks simultaneously and meet deadlines.
  • Proficient in Microsoft Office Suite, particularly Excel.
  • Experience with HR information systems (GHR or similar) is a plus.
  • Ability to work effectively as part of a team and independently when required.
