About the position

The Associate Experience HR Specialist plays a crucial role in enhancing associate engagement and fostering a culture of belonging within the organization. This position involves coordinating various engagement initiatives, managing recognition programs, and overseeing the onboarding process for new associates, all while collaborating with HR Business Partners to support regional branch locations. The ideal candidate will demonstrate exceptional organizational skills and a passion for creating positive associate experiences, effectively communicating across all levels of the organization.

Responsibilities

  • Act as an ambassador for associate experience, promoting high levels of engagement and satisfaction among staff.
  • Collaborate closely with leadership to achieve retention goals and maintain open communication with site and corporate leaders.
  • Adapt to evolving responsibilities as corporate engagement programs and campus needs change.
  • Foster trust and create a motivating environment that inspires associate engagement.
  • Support leadership in gathering associate feedback through focus groups, surveys, and other channels.
  • Facilitate a welcoming onboarding process for new hires, ensuring a smooth transition into the organization.
  • Serve as the primary point of contact for new associates, addressing inquiries and providing guidance on policies and procedures.
  • Design and develop communication materials for new hires and hiring managers regarding orientation and training.
  • Conduct both online and in-person orientation sessions, tailored to meet the needs of non-manufacturing and out-of-state associates.
  • Continuously explore and implement innovative onboarding practices to keep content relevant and engaging.
  • Enhance processes and create programs to support the seven stages of the associate lifecycle: talent attraction, recruitment, onboarding, retention, development, offboarding, and positive transitions for departing associates.
  • Collaborate with Human Resource Business Partners, HR team members, and management to align the associate experience with the company's values and goals.
  • Design and implement programs aimed at enhancing associate engagement and satisfaction throughout the entire associate lifecycle.
  • Coordinate logistics for associate recognition programs, including service awards and birthday celebrations, ensuring timely distribution.
  • Create engaging communications and presentations for HR initiatives and programs. Partner with the marketing team to develop compelling program branding.
  • Manage HR-related documentation, including employment offers and termination letters.
  • Support the administration of compliance programs, including FMLA, EEO, ERISA, COBRA, eVerify, and other relevant regulations.
  • Collaborate with Human Resources Business Partners and hiring managers to identify talent needs and develop effective job descriptions.
  • Coordinate recruitment activities, manage candidate communications, and ensure a positive candidate experience throughout the hiring process.
  • May be tasked with supporting recruitment functions, such as reviewing applications, reaching out to candidates, conducting phone screens to assess qualifications, and scheduling interviews with the hiring team.
  • Organize and participate in job fairs and outreach events to attract top talent, using data and feedback to refine recruitment strategies.
  • Establish and maintain effective communication channels between associates and leadership, serving as a communication hub for the campus.
  • Collaborate with corporate and on-site teams to address unique engagement needs and goals.
  • Create and update onboarding materials and communications based on data-informed decisions.
  • Assist with internal communications related to HR initiatives and events that promote engagement and company values.
  • Manage associate surveys, focus groups, and one-on-one feedback sessions; analyze results and recommend actionable improvements.
  • Develop and implement an associate communications plan to ensure timely information flow through various channels.
  • Assist the Human Resources department with administrative tasks, including scheduling meetings and managing records.
  • Design, distribute, and analyze evaluation methods, such as surveys, to assess program effectiveness and identify improvement opportunities.
  • Evaluate engagement activities and generate reports to assess effectiveness and recommend enhancements.
  • Prepare reports and conduct data analysis related to HR metrics and compliance.
  • Support team projects and initiatives as needed.
  • Coordinate engagement activities, evaluate their effectiveness, and recommend improvements based on reports and associate surveys.
  • Serve as the on-site coordinator during events, managing all logistical aspects, including catering.
  • Facilitate training and development initiatives, as well as team-building activities, to enhance collaboration and skill development.

Requirements

  • Bachelor's or Associate's degree in human resources or another related field is preferred.
  • At least 3 to 5 years of general Human Resources experience.
  • Familiarity with strategies and best practices for promoting associate engagement, fostering a positive workplace culture, and enhancing the associate experience throughout the associate lifecycle.
  • Knowledge of Human Resources Information Systems (HRIS) and Applicant Tracking Systems (ATS) software, including their functionalities for data management, reporting, and recruitment processes. Experience with ADP is a plus.
  • Strong interpersonal and communication skills with the ability to work effectively with diverse teams.
  • Capable of building relationships with associates at all levels.
  • Strong organizational skills with the ability to pay attention to detail.
  • Excellent organizational skills and attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with HR software preferred.
  • Ability to handle sensitive information with confidentiality and professionalism.
