About the position

The Human Resources Specialist at MarketSource is a pivotal role responsible for managing various HR functions at a professional level, engaging with all employees across the organization, including directors, managers, and hourly staff. This position is integral to ensuring compliance with HR policies and processes, particularly in areas such as worker's compensation, the Americans with Disabilities Act (ADA), and personal unpaid leaves of absence. The HR Specialist will oversee the daily operations related to these areas, ensuring that all employees receive the necessary support and guidance regarding their HR-related inquiries and needs. In this role, the HR Specialist will act as the primary administrator of HR policies and processes, which includes managing HRIS functions, handling worker's compensation claims, and facilitating accommodations and leaves of absence. The specialist will be responsible for triaging incoming communications from employees regarding worker's compensation claims, ensuring that all necessary paperwork is completed accurately and promptly. This includes establishing and maintaining workers' compensation data in relevant systems and coordinating with vendors and adjusters to manage claims effectively. The HR Specialist will also play a crucial role in counseling employees about their rights and options under the ADA, providing recommendations for accommodations, and ensuring that all leave requests are processed in accordance with company policies. This position requires a strong focus on detail and the ability to manage multiple cases simultaneously, ensuring that all inquiries are resolved efficiently and effectively. The HR Specialist will collaborate closely with the HR team and legal department to stay informed about relevant legislation and best practices, contributing to the continuous improvement of HR services within the organization.

Responsibilities

  • Administer HR policies and processes including HRIS functions, worker's compensation, accommodations, and leaves of absence.
  • Ensure compliance with applicable federal, state, and local laws related to worker's compensation, accommodations, and leaves of absence.
  • Triage incoming calls and emails from employees regarding worker's compensation claims and administer intake paperwork for reporting workplace injuries.
  • Establish and maintain workers' compensation data in appropriate portals and systems.
  • Intake new claims and coordinate with worker's compensation vendor/adjusters, employees, and managers in handling return to work or restricted duty matters.
  • Initiate subrogation where appropriate with HR Manager's authority.
  • Review requests with HR Manager to increase reserves and provide authority to worker's compensation vendor.
  • Respond to employee inquiries regarding the leave of absence or accommodation process and company policies.
  • Effectively interpret ADA implications as they relate to leaves of absences/disabilities.
  • Recommend solutions to support requests for accommodations.
  • Counsel employees regarding leaves of absence including explaining leave policies, coordinating paperwork, and tracking.
  • Notify supervisor and Payroll of employee leave dates and updates, including commencement and return from leave.
  • Track and follow all assigned cases to closure to deliver high-quality HR services.
  • Escalate and partner on complex matters with HR Manager as needed.
  • Establish positive and interactive relationships with business partners to support successful implementation of HR policies and processes.
  • Recommend new approaches, policies, and procedures to improve efficiency of department and services performed.
  • Communicate effectively with HR team, employees, program leaders, and other business partners.
  • Execute tasks with accuracy and in a timely manner.
  • Collaborate with HR team and legal department to stay updated on relevant legislation and policies.
  • Prepare, review, interpret, analyze, and update a variety of data, information, and reports, and make recommendations based on findings.
  • Ensure meticulous attention to detail in all aspects of HR processes.
  • Deliver project work aligned to the objectives of the business.

Requirements

  • Bachelor's Degree in Business Administration, Human Resources or related field, or equivalent experience in lieu of degree.
  • 2+ years' experience in HR assisting employees/candidates with accommodation requests, worker's compensation administration, and/or benefits administration.
  • Strong experience with HRIS/similar HR systems.
  • Working knowledge of MS Office Suite including Excel, Power Point, Outlook, and Word.
  • Demonstrated success in working within a Human Resources function within a fast-paced/multi-unit organization.
  • General knowledge of employment law and its practical application.
  • Strong oral and written communication and time management skills.
  • Strong interpersonal and customer service skills.
  • Demonstrated ability to manage multiple assignments.
  • Demonstrated ability to be flexible with frequent changes.
  • Ability to be self-directed/motivated to work independently.
  • Possess a strong sense of customer service and a commitment to integrity and ability to maintain confidentiality.
  • Collaborative and comfortable working as part of a team.
