About the position

The HR Support Specialist at Scythe Robotics is a temporary role focused on providing comprehensive administrative and clerical support to ensure smooth operations during a 16-week parental leave. The position involves collaborating with various teams to enhance productivity and contribute to sustainable growth while maintaining a positive office environment.

Responsibilities

  • Welcome and direct visitors and candidates as the first point of contact.
  • Organize and distribute mail, packages, and other office deliveries.
  • Maintain and update filing systems, including converting physical files to electronic.
  • Ensure office supplies are maintained and work with vendors for inventory management.
  • Assist with document preparation, including formatting and proofreading reports.
  • Manage incoming calls and emails, directing them to appropriate teams.
  • Prepare meeting rooms for conferences and company-wide meetings.
  • Assist with organizing company-wide events and coordinating logistics.
  • Manage a centralized calendar for company-wide events and important dates.
  • Maintain overall organization and cleanliness of the office space.
  • Liaise with building management for maintenance and security.
  • Coordinate with vendors for equipment purchases and repairs.
  • Assist with New Hire Onboarding and employee recognition programs.
  • Support the People Team with tracking and updating employee records.
  • Assist the Talent Acquisition team with scheduling interviews and conducting resume reviews.

Requirements

  • Experience in a fast-paced and collaborative startup environment.
  • Strong verbal communication skills with experience interacting with various levels of employees.
  • Self-directed with strong multi-tasking and problem-solving abilities.
  • Experience managing office logistics, including inventory management and scheduling.
  • Proficiency in organizing internal and external events.
  • Basic knowledge of HR support functions, including onboarding and reference checks.
  • Experience with office management software and tools.

Nice-to-haves

  • Experience as an Executive Assistant or office administrator.
  • Familiarity with HRIS and/or ATS systems.
  • Experience in event planning or hospitality management.
  • Experience facilitating employee engagement programs.
