About the position

The HR Support Specialist plays a crucial role in the administration of day-to-day operations within the human resources department at Mercyhealth. This position provides clerical support to senior HR leaders and partners, ensuring accurate maintenance of clerical and financial records. The specialist will interact with various teams across multiple locations and may require travel to support HR initiatives. Flexibility in working hours and the ability to manage special projects are essential aspects of this role.

Responsibilities

  • Greets applicants, visitors, partners, and customers with a warm welcome.
  • Answers telephones in a professional manner; screens and directs calls appropriately.
  • Schedules appointments, meetings, and seminars for the Senior Director and assists HR leadership with clerical duties.
  • Orders and maintains office supplies within budgetary guidelines.
  • Maintains and orders badge backers as needed.
  • Sorts, screens, and distributes internal and external mail.
  • Prepares external shipping labels or certified mail as requested.
  • Processes reimbursements for certifications, licensure, and tuition assistance; monitors terminations for repayment/collections.
  • Updates/audits certification, life support, or licensure in Workday and assists with primary source verifications.
  • Processes HR department invoices as requested.
  • Maintains an organized office by updating employment posters and special activity flyers as needed.
  • Receives subpoenas and routes them for processing.
  • Responds to personnel file requests.
  • Coordinates Partner Crisis Fund applications and ensures payments are made promptly.
  • Processes Community Service Volunteer requests.
  • Manages receipts for the Senior Director's corporate mastercard.
  • Monitors and responds to Workday case management.
  • Assists with New Hire Orientation as requested.
  • Coordinates vetting of partners between Marketing and HRBPs.
  • Provides administrative support for special projects.

Requirements

  • High school diploma or GED.
  • Three years of experience in a secretarial field or equivalent combination of education and experience.
  • Valid driver's license.
  • Excellent keyboarding skills.
  • Ability to handle a multi-line phone system.
  • Strong organizational, communication, and time-management skills.
  • Proficient in Microsoft Office applications.

Nice-to-haves

  • Experience with Workday case management.
  • Knowledge of HR processes and procedures.
