About the position

The HSHS Student Services Specialist provides comprehensive support and services to prospective and current students, dual credit students, and the community. This role encompasses various functions including recruitment, admissions advising, records management, financial aid assistance, and general office support. The specialist is expected to engage in cross-training within student services and assist with advising, registration, and financial transactions.

Responsibilities

  • Provide support, information, and services to students, instructors, and community members.
  • Verify documents for completeness and compliance with department procedures.
  • Prepare and distribute department correspondence and reports.
  • Maintain organized electronic and hard copy filing systems.
  • Assist instructors with class changes and notifications.
  • Schedule and attend meetings, preparing minutes and necessary materials.
  • Handle incoming and outgoing mail and assist with bulk mailings.
  • Schedule repairs with IT and alert maintenance to building issues.
  • Handle complaints and problems courteously and effectively.
  • Serve as a specialist for admissions, records, registration, and business functions.
  • Assist students with application forms and course registration.
  • Provide course information and referrals to campus resources.
  • Assist with student registration via online systems.
  • Refer students to appropriate departments as necessary.
  • Process student payments and receipts.
  • Provide information and assistance to dual credit students.
  • Assist with academic advising and financial aid coordination.
  • Administer and proctor tests for HSHS programs when needed.
  • Maintain class, student, and instructor files and enrollment records.
  • Support faculty for classes taught over telecommunication systems.
  • Engage with outside agencies for student success initiatives.
  • Schedule rooms for instruction and meetings.
  • Troubleshoot basic IT and facilities issues as they arise.
  • Manage the office in the absence of the director.

Requirements

  • Excellent interpersonal communication and customer service skills.
  • Demonstrated ability in basic math and business communications.
  • Attention to detail and self-motivation to complete tasks.
  • Ability to perform financial transactions accurately.
  • Demonstrated ability to maintain cooperative working relationships.
  • Ability to manage student records confidentially.

Nice-to-haves

  • General knowledge of policies and procedures related to job functions.
  • Bilingual in English and Spanish.

Benefits

  • Full-time position with a salary of $31,200.00 annually.
  • 12 months of work per year, Monday to Friday with evenings or weekends as needed.
