About the position

The Executive Assistant provides comprehensive administrative and logistical support to the Executive Director, ensuring the smooth operation of the organization. This role requires a high level of organizational skills, discretion, and a deep respect for Indigenous cultures and communities. The Executive Assistant will be responsible for managing the Executive Director's calendar, scheduling appointments, and coordinating travel arrangements. This position also involves preparing correspondence, reports, and presentations as required, as well as managing incoming and outgoing communications, including email, phone calls, and mail. In addition to these responsibilities, the Executive Assistant will coordinate meetings, conferences, and events, ensuring all logistics and arrangements are handled efficiently. Maintaining confidentiality is crucial, as the role involves managing sensitive information. The Executive Assistant will also oversee office operations, including managing office supplies, equipment, and facilities. Financial management tasks may also be part of the role, such as preparing expense reports and tracking budgets. Representing the organization professionally in interactions with stakeholders, including Indigenous communities, donors, and partners, is a key aspect of this position. The Executive Assistant will contribute to the development and maintenance of positive relationships with Indigenous communities, ensuring that the organization's mission and values are upheld in all interactions. Other related duties may be assigned as needed, making this a dynamic and integral role within the organization.

Responsibilities

Requirements

  • High level of organizational skills and attention to detail.
  • Discretion and ability to handle confidential information.
  • Strong communication skills, both written and verbal.
  • Experience in administrative support roles, preferably in a non-profit or community-focused organization.
  • Ability to manage multiple tasks and prioritize effectively.
