About the position

The Human Resource Assistant position at The Grainger College of Engineering, University of Illinois Urbana-Champaign, is responsible for providing support to the HR team. This role involves assisting with search coordination, appointment processing, compliance tracking, and drafting employment verification letters, among other duties. The position aims to enhance the efficiency of HR operations and ensure compliance with various HR processes.

Responsibilities

  • Assist HR staff with search coordination, including advertising, scheduling committee meetings, and coordinating interviews.
  • Access information in the applicant tracking system and organize documentation in individual search folders.
  • Draft offer letters using existing templates for HR staff review.
  • Create and maintain personnel files for new hires, ensuring all documents are appropriately filed.
  • Schedule new hire orientation sessions.
  • Process stipend election forms for recurring appointments and gather completed forms for personnel files.
  • Process Service In Excess payments for faculty and manage related documentation.
  • Track completion of annual trainings and notify supervisors of non-completion.
  • Assist with the collection of annual performance reviews and job description updates.
  • Draft employment verification letters as directed.
  • Assume additional duties to support the organization's mission.

Requirements

  • High school diploma or equivalent.
  • One year of experience in a related field or performing basic human resource/payroll or general office support duties.

Nice-to-haves

  • Undergraduate bachelor's degree.
  • 1-2 years of experience in a job area.
  • Knowledge of MS Word, Excel, Outlook, and general computer systems.
  • Effective verbal and written communication skills.
