About the position

The Human Resources Specialist at Indianapolis Emergency Medical Services (EMS) plays a crucial role in supporting the day-to-day operations of the Human Resources Section. This position involves providing administrative support for various HR functions, including personnel and payroll changes, file maintenance, and benefits administration. The specialist is responsible for executing HR initiatives, guiding employees and leadership, and ensuring accurate HR information is communicated effectively.

Responsibilities

  • Assist with day-to-day operations of the Human Resources Section.
  • Provide administrative support for HR functions including personnel/payroll changes and file maintenance.
  • Execute HR initiatives and provide guidance to employees and leadership.
  • Ensure accuracy and completion of human resource information routed to the HR Department.
  • Participate in the recruitment process for all sections of IEMS.
  • Communicate with prospective applicants regarding employment opportunities and follow up on inquiries.
  • Maintain the applicant tracking systems by managing position information and reassignment.
  • Troubleshoot and resolve applicant and system issues related to HRIS.
  • Coordinate offers of employment, background screening, and new hire processes.
  • Assist with maintaining current licenses/certifications as required by regulatory bodies.
  • Enter and monitor data into HRIS system ensuring accuracy of information.
  • Process merit increases and annual promotions.
  • Monitor and process attendance for IEMS.
  • Distribute benefit enrollment information to new hires and assist with enrollment.
  • Communicate with Occupational Health regarding work-related injuries and documentation.
  • Proactively recommend ideas for process improvement and resource management.
  • Develop and maintain trusting relationships with staff and leadership.
  • Report sensitive issues timely to leadership.
  • Complete special projects as assigned.

Requirements

  • Associate degree in human resources preferred, or 3 to 5 years' experience in HR/Benefits/HRIS functions required.
  • Strong organizational skills with the ability to prioritize and multi-task.
  • Ability to plan work activities and develop realistic action plans.
  • Experience in handling sensitive confidential information.
  • Excellent communication skills.
  • Strong administrative and data management skills.
  • Excellent customer service skills.
  • Ability to problem solve and analyze information effectively.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Ability to gain competency with HRIS, SAP, Kronos, and other software systems.
  • Ability to work with clinical, professional, technical, and administrative personnel.
  • Proven effective presentation and organizational skills.
