About the position

The Human Resources Specialist at Indianapolis Emergency Medical Services (EMS) plays a crucial role in supporting the day-to-day operations of the Human Resources Section. This position involves providing administrative support for various HR functions, including personnel and payroll changes, file maintenance, and benefits management. The specialist is responsible for executing HR initiatives and offering guidance to both employees and leadership, ensuring that all HR information is accurate and effectively communicated.

Responsibilities

  • Ensures accuracy and completion of all human resource information routed to Eskenazi Health Human Resources Department.
  • Participates in the recruitment process for all sections of IEMS.
  • Communicates with prospective applicants regarding employment opportunities and follows up on inquiries.
  • Maintains the applicant tracking systems by managing position openings and updates.
  • Troubleshoots and resolves applicant and system issues related to HR tracking and HRIS.
  • Coordinates offers of employment, background screening, and scheduling of new hire processes.
  • Assists in maintaining current licenses/certifications as required by regulatory bodies.
  • Enters and monitors data into HRIS system ensuring accuracy of information.
  • Processes new hires, status changes, pay changes, and termination paperwork.
  • Updates employee change information in the HRIS database.
  • Processes merit increases and annual promotions.
  • Monitors and processes attendance for IEMS.
  • Distributes benefit enrollment information to new hires and assists with enrollment.
  • Communicates with Occupational Health regarding work-related injuries and documentation.
  • Recommends ideas for process improvement and prudent resource use.
  • Develops and maintains trusting relationships with staff and leadership.
  • Reports sensitive and high-profile issues to leadership in a timely manner.
  • Completes special projects as assigned by leadership.

Requirements

  • Associate degree in human resources preferred or 3 to 5 years' experience in Human Resources/Benefits/HRIS functions required.
  • Strong organizational skills with the ability to prioritize and multi-task.
  • Experience in handling sensitive confidential information.
  • Excellent communication skills.
  • Strong administrative and data management skills.
  • Excellent customer service skills.
  • Ability to problem solve and analyze information.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Ability to gain competency with HRIS, SAP, Kronos, and other software systems.
  • Ability to work with clinical, professional, technical, and administrative personnel.
  • Proven effective presentation and organizational skills.
