About the position

The University of Washington's Department of Emergency Medicine is seeking a full-time Human Resource Specialist to manage activities surrounding both Staff Human Resources (HR) and Academic Human Resources (AHR). This position is critical in ensuring the smooth operation of HR functions within the department, which has a workforce of over 170, including 80+ faculty members known for their excellence in research, teaching, and patient care. The Human Resource Specialist will have delegated authority to handle a wide range of highly confidential and complex HR activities, acting as a liaison between the Department Chair, HR/AHR Managers, and both internal and external clients. In the realm of Academic Human Resources Administration, the Specialist will manage the compilation of new appointment packets, serve as the main point of contact for new faculty hires, and ensure compliance with university policies. Responsibilities include managing medical staff credentialing, drafting confidential appointment correspondence, assisting with faculty recruitment, and overseeing faculty evaluations. The Specialist will also play a key role in the New Faculty Orientation process and will collaborate with the AHR Manager to identify and implement process improvements. For Staff Human Resources Support, the Specialist will manage Workday processes related to staff hiring, collaborate on position descriptions, and liaise with new recruits and supervisors. They will oversee hourly and student appointments, develop onboarding training, and ensure compliance with university regulations. Additionally, the Specialist will manage faculty and staff leave of absences, specifically FMLA and parental leave, and maintain accurate records in Workday. This role requires excellent communication skills, organizational abilities, and a strong attention to detail, as well as the capacity to operate with minimal supervision and adapt to changing priorities.

Responsibilities

  • Manage the compilation of new appointment packets for faculty hires.
  • Act as the main point of contact for new faculty hires and prepare departmental correspondence.
  • Manage and process medical staff credentialing for clinically active faculty.
  • Draft confidential appointment correspondence and official records on behalf of the AHR Manager, Vice Chair, and Chair.
  • Assist with the departmental faculty recruitment process, including advertisement posting and management.
  • Receive and review annual reappointment proposals and prepare documentation for distribution.
  • Manage the process for faculty evaluations, including Peer Teaching Evaluations and Clinical Peer Evaluations.
  • Assist in the New Faculty Orientation process, including agenda preparation and feedback reporting.
  • Assist with the faculty merit review process, compiling data and overseeing organization.
  • Assess current processes and collaborate with AHR Manager for necessary improvements.
  • Manage all relevant Workday processes related to staff hiring.
  • Collaborate with HR Manager to develop position descriptions for new recruitments.
  • Liaise with new recruits, supervisors, and HR regarding hiring and onboarding issues.
  • Manage and oversee hourly and student appointments and deliver HR training.
  • Gather data related to staff salaries and prepare reports for HR Manager or Director.
  • Stay updated on policies and ensure departmental compliance.
  • Develop and maintain tracking procedures for hourly staff appointments.
  • Participate in weekly HR meetings with department leadership.
  • Onboard all new staff employees to Emergency Medicine and UW.
  • Responsible for desk, computer, and access setup for new employees.
  • Serve as the main point of contact for all department hourly staff regarding appointments and payroll.
  • Manage faculty and staff leave of absences, specifically FMLA and parental leave.

Requirements

  • Bachelor's degree in Human Resources, Business Administration, Social Sciences, Communications, or related field.
  • One to two years of experience in office management, human resources, or academic affairs.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to operate with minimal day-to-day direction.
  • Demonstrated ability to multitask and work well under deadlines.
  • Strong communication and interpersonal skills, with the ability to handle confidential information.
  • Proficiency in MS Office applications: MS Word, Excel, PowerPoint, and Outlook.

Nice-to-haves

  • Prior work experience in an academic, healthcare, and/or administrative environment.
  • Prior experience with faculty appointments and credentialing processes.
  • Knowledge of UW HR/Payroll system (Workday) and policies and procedures.
  • Experience with HMC, UWMC-Montlake, and UWMC-Northwest campus locations and systems.
