About the position

The Human Resources Administrative Assistant will support the HR department of a busy Property Management Company, primarily focusing on administrative tasks. This role is fully onsite in Irvine and involves interacting with employees at all levels, ensuring efficient HR operations, and maintaining confidentiality in handling sensitive information.

Responsibilities

  • Perform daily administrative tasks for the Human Resources department including filing, scanning, and organizing departmental files.
  • Order and maintain office supplies for the HR department.
  • Process invoices from third-party HR providers.
  • Assist with the pre-employment process, including follow-up on missing information from candidates and hiring managers.
  • Prepare new hire packets for orientation and other employee-related documents.
  • Provide backup administration for the onboarding process, including completing Form I-9's.
  • Assist in creating employment agreements and related documents for transfers and promotions.
  • Maintain COVID-19 logs and prepare exposure notices as needed.
  • Establish and maintain the HR archive system for personnel files.
  • Interact with department team members and assist with various tasks.
  • Assist with special projects and answer incoming calls.
  • Provide administrative support to the Human Resources Manager and Director.

Requirements

  • 1-2 years of current experience in a Human Resources department as an Assistant or Administrative Assistant.
  • Demonstrated knowledge of general Human Resources practices and principles.
  • Basic knowledge of employment law.
  • Proficiency in MS Office Suite (Word, Excel, Outlook).
  • Ability to maintain confidentiality of sensitive information.
  • High level of reliability and dependability.
  • Detail-oriented with strong organizational skills.
  • Excellent customer service and communication skills, both written and verbal.

Nice-to-haves

  • HR Certification preferred but not required.
