About the position

The Washington County Department of Human Resources is seeking an Administrative Specialist II to join our team in Hillsboro, OR. This full-time position is pivotal in providing high-level customer service to both employees and community members. The role is stationed at the front desk of the department, where the specialist will be responsible for welcoming new employees and supporting the onboarding process. This includes conducting I-9 verifications, utilizing the USCIS's E-Verify platform to confirm employment authorization, and managing the printing and provisioning of employee ID cards. The specialist will also create and maintain personnel files, ensuring compliance with applicable laws and regulations regarding document retention. In addition to onboarding duties, the Administrative Specialist II will partner with the Front Office Team to conduct periodic audits, manage office supply inventory, and provide ad hoc administrative support to the HR leadership team. This support may involve preparing slide decks, scheduling meetings, and developing agendas. The specialist will also handle incoming calls and voicemails, coordinate with supervisors to ensure timely completion of new hire paperwork, and collaborate with the benefits and leaves team to administer transit passes and other benefits for new hires. The ideal candidate will be collaborative, team-oriented, and comfortable with multitasking in a dynamic environment. They should possess strong attention to detail, excellent written and verbal communication skills, and the ability to build effective relationships with diverse stakeholders. Responsibilities

  • Welcome new employees and support the onboarding process by conducting I-9 verifications and using USCIS's E-Verify platform.
  • Create and maintain personnel files and oversee I-9 and other document retention in compliance with applicable laws and regulations.
  • Partner with the Front Office Team to conduct periodic audits and ensure compliance with applicable laws and regulations.
  • Manage office supply inventory and purchasing, providing ad hoc administrative support to the HR leadership team.
  • Answer calls and respond to voicemails, including county-wide switchboard operations.
  • Coordinate with supervisors to ensure employees complete new hire paperwork and compliance-driven tasks within the required time frame.
  • Collaborate with the benefits and leaves team to administer transit passes and other benefits for new hires.
  • Create a welcoming and inclusive environment in the office.
  • Respond to employment and income verification requests, Federal Public Student Loan Forgiveness inquiries, and other ad hoc requests.
  • Monitor department inboxes and ensure efficient email responses.
  • Support county fleet operations by checking in and out vehicles to employees.
  • Create and maintain up-to-date process documentation for assigned duties and functional areas.
  • Respond to county employees' general inquiries and questions.
  • Support Washington County's Employee Recognition Program.
  • Act as the team's primary Human Resources liaison for Recruitment, Personnel Actions, and Onboarding work orders.

Requirements

  • High school diploma or equivalent.
  • Three (3) years of progressively responsible experience providing administrative or clerical support.
  • Possession of Microsoft Office Specialist (MOS) or other applicable certifications may substitute for up to one (1) year of the experience requirement.
  • Strong communication skills, both written and verbal.
  • Proficiency in Microsoft applications including Teams, SharePoint, Excel, Outlook, and PowerPoint.
