About the position

The Human Resources Administrative Specialist position at Astrion is a vital role that supports the C3I and Infrastructure Division (AFLCMC/HNI) at Hanscom Air Force Base. This division is responsible for providing enterprise support to over 110 active Air Force, Air National Guard (ANG), and Air Force Reserve installations and bases. The specialist will work closely with the HNI Division Front Office, coordinating various administrative tasks that are essential for the smooth operation of the division. This includes managing calendars, scheduling meetings, and ensuring that all necessary documentation is prepared and filed according to organizational policies. The role requires a proactive approach to support leadership by keeping them informed on issues relevant to the mission of the Directorate and monitoring the progress of various initiatives. In this position, the specialist will be responsible for coordinating, documenting, and supporting a variety of meetings and conferences, both physical and virtual. This includes preparing background information, inviting participants, and ensuring that all meeting documentation is properly filed. The specialist will also be tasked with researching and compiling information on specific projects or topics, preparing clear and concise written communications, and providing travel planning and execution support. The ability to assimilate information quickly, communicate effectively, and remain organized is crucial for success in this role, as it involves monitoring multiple taskings and initiatives simultaneously. Responsibilities

  • Coordinates, documents, monitors, and supports a variety of meetings and conferences, including scheduling and setup of physical and virtual meetings.
  • Manages Branch Leadership Calendars, including deconflicting schedules.
  • Prepares background information and invites required meeting participants, ensuring documentation of meetings is filed in accordance with organizational policy.
  • Researches and compiles information pertaining to specific projects or topics.
  • Prepares factual, clear, concise, complete, and appropriately coordinated written communications.
  • Ensures leadership is kept informed on all issues of interest related to the mission of the Directorate.
  • Monitors progress toward accomplishment of various taskings and initiatives.
  • Maintains scheduling documents and requirements for video and online conferencing setup and execution.
  • Provides travel planning and execution support.

Requirements

  • Bachelor's degree and 10 years of experience, 5 of which must be within the DoD, OR 20 years of directly related experience (8 years of which must be within the DoD).
  • Experience or familiarity with Microsoft Teams tool.
  • Experience or familiarity with Microsoft Planner tool.
  • Understanding of processes, ranks, and chain of command.
  • Ability to assimilate information quickly, communicate effectively, and remain organized.
