About the position

The Human Resources Administrative Specialist plays a crucial role in managing HR data and reporting within the Workday HCM system. This position is responsible for entering various HR transactions, ensuring compliance with company guidelines and legal requirements, and providing essential reports to the HR and Operations teams. The specialist will work closely with these teams to track and report on key HR metrics such as absenteeism, turnover, and employee referrals. This role requires a detail-oriented individual who can manage data accurately and efficiently while also serving as a point of contact for employees and management regarding HRIS-related inquiries. In addition to data entry and reporting, the HR Administrative Specialist will oversee the unemployment process, ensuring that all necessary documentation is submitted and entered into the appropriate systems. The role also involves training supervisors and managers on the functionalities of the Workday HCM system, validating I-9 documentation for new hires, and identifying opportunities for process improvements. The specialist will be expected to promote safety initiatives within the workplace and maintain a culture of zero accidents. This position does not have supervisory responsibilities, making it an individual contributor role that requires strong functional and technical skills, problem-solving abilities, and interpersonal savvy. The ideal candidate will have a minimum of three years of experience in a human resources environment, preferably with experience in HCM systems like Workday. Strong computer skills, attention to detail, and the ability to communicate effectively in English are essential for success in this role.

Responsibilities

  • Enter data and transactions in the Workday system accurately and completely.
  • Act as point of contact for employees and plant leaders regarding Workday data and transactions.
  • Research and resolve data input discrepancies or missing data as needed.
  • Gather, track, and compile data for HR or Operations metrics reporting and distribute it timely.
  • Oversee the Trumpia messaging system for the location.
  • Manage the unemployment process, ensuring complete data entry in the applicable system.
  • Provide training for supervisors and managers on the Workday HCM system.
  • Validate I-9 documentation for new hires and recertify as needed.
  • Complete WOTC sec. 2 for all new hires.
  • Identify and communicate opportunities for process improvement.
  • Promote safety initiatives and maintain a zero accident culture.
  • Perform additional relevant duties as assigned.

Requirements

  • High School diploma or equivalent; Associate's degree in a relevant field preferred.
  • Minimum three years' experience in a human resources environment; experience with HCM systems such as Workday preferred.
  • Strong computer skills with proficiency in Microsoft applications (Word, Excel, Outlook).
  • Ability to communicate effectively in English, both verbally and in writing; knowledge of multiple languages preferred.
  • Strong attention to detail and organizational skills with the ability to prioritize tasks.
  • Ability to work effectively with others, demonstrating tact and discretion.
  • Self-starter with strong initiative and sense of urgency, able to work in a fast-paced environment.

Nice-to-haves

  • Experience with Workday or similar HRIS systems.
