About the position

The Human Resources Administrative Supervisor plays a crucial role in the daily operations of the Human Resources department by overseeing administrative functions and coordinating the work of the administrative staff. This position ensures that deadlines and priorities are met while maintaining a professional and positive work environment.

Responsibilities

  • Oversees the daily office work activities of the Human Resources administrative staff.
  • Acts as a payroll liaison by preparing Kronos time keeping and attendance documents for the HR department.
  • Maintains organized record-keeping of departmental employee absences and time-off.
  • Processes Personnel Action Forms (PAFs) for HR management review and enters data into HR software for further processing.
  • Assists with the department's record retention and destruction in accordance with City procedures.
  • Maintains accurate records of Employee Disciplinary Reports for all City employees.
  • Schedules appeal hearings and issues correspondence to employees regarding appeal decisions and outcomes. Responsible for recording appeal hearings.
  • Receives and responds to Public Information Requests from the City Secretary department.
  • Schedules, books and pays for travel of all HR department employees.
  • Verifies information on employee loan applications and responds to employment verification requests.
  • Assists Director and Deputy Director with administrative needs on a daily basis.
  • Trains and sets the example for administrative employees to keep a professional and positive work environment.
  • Assists with employee enrollment, testing and orientation processes as needed.
  • Processes departmental invoices, generates requisitions and processes purchase orders (PO's).
  • Purchases office supplies and ensures that necessary supplies are in stock at all times.
  • Greets visitors and responds to routine inquiries from staff and public in a professional and courteous manner.
  • Answers and screens telephone calls; answers routine questions or transfers inquiries to the proper person.
  • Performs other job-related work activities and projects as assigned.

Requirements

  • Accredited high school diploma or GED equivalent and 60 earned college units of post high school education from an accredited college/university.
  • Three (3) years of related work experience.
  • Administrative experience in Human Resources and supervisory experience is preferred.
  • Valid Texas Class “C” driver's license.
  • Ability to handle sensitive and highly confidential information in a mature and responsible professional manner.
  • Friendly, customer service-oriented attitude; maintain professional conduct and attire at all times.
  • Attention to detail and thoroughness in completing work tasks.
  • Ability to respond to inquiries or complaints from outside organizations, customers or citizens in a friendly, professional and courteous manner using good judgement.
  • Ability to organize and prioritize work and accomplish tasks to meet deadlines.
  • Knowledge of general office procedures and ability to use office equipment rapidly and accurately.
  • Good verbal and written communication skills; ability to speak English; ability to speak Spanish is highly preferred.

  • Experience in a supervisory role within Human Resources.
