About the position

The Human Resources and Faculty Affairs Generalist at Columbia University Medical Center will play a crucial role in supporting the Department of Pathology and Cell Biology. Reporting directly to the Manager of Human Resources & Academic Affairs, the generalist will be responsible for coordinating the day-to-day human resources, academic affairs, and payroll functions within the department. This position is integral to ensuring that the recruitment, onboarding, payroll processing, compliance, and immigration needs of faculty and staff are met efficiently and effectively. The generalist may also be assigned to work on special projects that align with departmental goals and objectives. In the recruitment aspect, the generalist will assist in posting job positions on Columbia's job site and other advertising platforms, managing the I-9 process, and processing new hires and employment-related changes. The onboarding process will involve scheduling welcome programs and medical surveillance for new hires, ensuring a smooth transition into the department. The generalist will also handle payroll-related tasks, including processing employment changes and liaising with internal and external constituents to resolve any issues that arise during the hiring and onboarding processes. Additionally, the generalist will be responsible for immigration-related needs, assisting with visa sponsorships and ensuring compliance with various training and documentation requirements. The role requires maintaining and updating employee records in the HRIS system and managing special projects as designated by the leadership team. Overall, this position demands a high level of professionalism, organization, and the ability to work under pressure while maintaining sound independent judgment.

Responsibilities

  • Assist with the recruitment of staff by posting positions using Columbia's job site and outside advertising sources.
  • Schedule in-person meetings and manage the I-9 process for new hires.
  • Complete pre-hire background checks and process all new hires and employment-related changes.
  • Coordinate recruitment and pre-boarding processes for various staff categories including Officers of Administration and students.
  • Responsible for onboarding staff, faculty, and researchers, including scheduling welcome programs and medical surveillance.
  • Communicate with new hires and hiring managers to ensure a smooth onboarding experience.
  • Initiate and process template-based hires in Peoplesoft and/or nominations, ensuring accurate information collection.
  • Process employment-related changes in Talent Link and update PeopleSoft records accordingly.
  • Liaise with internal and external constituents to resolve issues related to new hires and payroll processing.
  • Assist with immigration-related needs, including sponsorship for various visa types and preparing documentation for family members.
  • Track and ensure compliance with I-9 processing and various training programs.
  • Maintain and update employee records in the HRIS system and manage special projects as designated.

Requirements

  • Bachelor's degree or equivalent required.
  • Minimum of 3 years of relevant experience in human resources or a related field.
  • Strong organizational skills and attention to detail.
  • Ability to establish priorities and follow up on multiple issues in a time-sensitive manner.
  • Excellent problem-solving skills and ability to work under pressure with minimal supervision.
  • Strong analytical skills and sound independent judgment.
  • Proficient in Microsoft Office, including advanced spreadsheet skills.
