About the position

The Human Resources Assistant (HRA) at Seattle Public Utilities (SPU) is a vital role that serves as the first point of contact for the Human Resources Division. This position focuses on providing exceptional customer service and administrative support, facilitating the recruitment process, and maintaining employee records. The HRA will work closely with the Recruiting and Staffing Manager, gaining hands-on experience in HR and opportunities for career advancement within the public sector.

Responsibilities

  • Provides general and confidential administrative support for the HR Division.
  • Maintains employee record systems and schedules meetings.
  • Responds to general inquiries and reviews personnel actions for compliance.
  • Processes employee records within the City's HRIS and provides information to SPU Payroll.
  • Assists with recruitment activities including posting ads and scheduling interviews.
  • Conducts record audits and compliance reviews such as I-9 audits and EEO-1 filings.
  • Coordinates employee onboarding paperwork for accuracy and completeness.
  • Receives, tracks, and distributes documents from the Employment Team electronic mailbox.

Requirements

  • Two years of progressively responsible clerical work in a personnel office setting.
  • Experience handling critical information with a high degree of confidentiality.
  • Strong customer service experience and ability to respond to inquiries timely.
  • Experience with database software programs or applicant tracking systems like HRIS and NeoGov.
  • Ability to compile and analyze HR data and trends.
  • Knowledge of office practices and procedures.
  • Strong problem-solving, organizational, analytical, and communication skills.
  • High level of proficiency with Microsoft Office Suite, Excel, and Adobe products.

  • Experience in a public sector HR environment.
