About the position

The Human Resources Assistant (HRA) at Seattle Public Utilities (SPU) is a vital role that provides exceptional customer service and administrative support within the HR Division. The HRA serves as the first point of contact for HR inquiries and works closely with the Recruiting and Staffing Manager. This position offers opportunities for professional growth in the human resources field, focusing on supporting the public sector and enhancing the employee experience.

Responsibilities

  • Provides general and confidential administrative support for the HR Division.
  • Maintains employee record systems and schedules meetings.
  • Responds to general inquiries and reviews personnel actions for compliance.
  • Processes employee records within the City's HRIS and provides information to SPU Payroll.
  • Assists with recruitment activities including posting ads and scheduling interviews.
  • Conducts record audits and compliance reviews such as I-9 audits and EEO-1 filings.
  • Coordinates employee onboarding paperwork for accuracy and completeness.
  • Receives, tracks, and distributes documents from the Employment Team electronic mailbox.

Requirements

  • Two years of progressively responsible clerical work in a personnel office setting.
  • Experience handling critical information with a high degree of confidentiality.
  • Strong customer service experience and ability to respond to inquiries timely.
  • Experience with HRIS and applicant tracking systems like NeoGov.
  • Ability to work with diverse groups and present information supportively.
  • Ability to compile and analyze HR data and trends.
  • Knowledge of office practices and procedures.
  • Strong problem-solving, organizational, analytical, and communication skills.
  • High proficiency in Microsoft Office Suite and Adobe products.
  • Excellent attention to detail and time management skills.
