About the position

The Human Resources Assistant to the HR Director plays a crucial role in supporting the Agency Director of Human Resources and the overall Human Resources team within the Corrections Department. This position is designed to provide high-level confidential executive assistance, ensuring that the HR Director's schedule is managed effectively and that communication flows smoothly between senior managers and the HR Director. The incumbent will act as a point of contact for various stakeholders, facilitating interactions and providing necessary information to enhance operational efficiency. In addition to scheduling and communication duties, the HR Assistant will support the Human Resources leadership team, including Labor Relations, by managing office operations and serving as a liaison to ensure the smooth functioning of the HR office. This includes developing and monitoring budget and expenditure information, as well as implementing administrative processes and guidelines that support the employee relations and staffing units. The role also involves access to sensitive labor negotiations information, where the incumbent will take notes, draft agendas, and provide data and information relevant to labor negotiations. The position requires a high level of organizational skills, time management, and the ability to handle competing priorities effectively. The HR Assistant will be expected to demonstrate strong writing and grammar skills, attention to detail, and effective critical thinking abilities to assist the senior leadership team in resolving complex issues. Overall, this role is integral to the success of the Human Resources department and the broader mission of the Corrections Department to improve the well-being and quality of life for all Minnesotans.

Responsibilities

  • Provide high-level confidential executive assistance to the Agency Director of Human Resources.
  • Manage scheduling for the Agency HR Director and serve as a point of contact for Senior Managers.
  • Support the Human Resources leadership team, including Labor Relations.
  • Provide office management support to the Human Resources section.
  • Develop and monitor budget and expenditure information for the HR office.
  • Implement administrative processes, procedures, and guidelines for employee relations and staffing units.
  • Access and manage labor negotiations information, including taking notes and drafting agendas.
  • Provide data and information to support labor negotiations.

Requirements

  • Two (2) years of experience as an executive assistant, senior administrative assistant, office manager, HR Assistant, or similar role.
  • High level of organizational skills and time management skills with the ability to manage competing priorities.
  • Advanced knowledge and proficiency in computer software programs for word processing, spreadsheets, PDFs, and databases.
  • Knowledge of basic accounting procedures sufficient to prepare itemized statements, bills or invoices, and record amounts due.
  • Human Relation skills sufficient to interact effectively with a wide variety of people.
  • Strong proficiency in writing and grammar skills sufficient to write, prepare and edit materials accurately.
  • Demonstrated attention to detail, including the ability to review data and complete transactions accurately.
  • Effective critical thinking skills to assist the senior leadership team.
  • Demonstrated problem-solving skills and use of professional judgment to resolve complex issues.

Nice-to-haves

  • Two (2) years of experience in human resources administration or performing related work in a human resources office.
  • Knowledge of basic policies, procedures, and operating practices related to the administration of human resources functions.
  • Working knowledge of union contracts, data privacy requirements, personnel rules, policies and procedures.
  • Working knowledge of the statewide accounting system, fiscal policies and procedures, and financial record keeping.
  • Knowledge of computer software programs including Microsoft Office: Word, Excel, PowerPoint, Adobe Acrobat Pro, Microsoft Teams, SharePoint, LaborSoft, and SEMA4.
  • Office procurement knowledge sufficient to submit orders to purchase commodities and services.
