About the position

The Human Resources Assistant at Mt. Hood Community College plays a vital role in providing customer service and administrative support within the Human Resources Department. This position is responsible for assisting current and prospective staff and community members, managing various administrative tasks, and supporting the operations of the HR department, including budget preparation and collective bargaining discussions. The role emphasizes inclusivity and accessibility, ensuring that all interactions are welcoming and culturally responsive.

Responsibilities

  • Serve as the front-office customer service representative to the Human Resources Department.
  • Provide general customer service over the phone, in-person, and via email.
  • Greet customers and provide specific information regarding human resources functional areas.
  • Respond to requests for information from employees, labor associations, and the public.
  • Perform a variety of administrative support activities for the AVP of Human Resources.
  • Manage the physical layout of the department and coordinate service maintenance on equipment.
  • Handle administrative tasks including arranging meetings, managing calendars, and answering correspondence.
  • Contribute to and coordinate assigned human resources related projects.
  • Assist with research, documentation, tracking, analysis, and recommendations.
  • Coordinate special events and programs, including gathering necessary information and sending out communications.
  • Provide administrative support to management's collective bargaining teams.
  • Monitor department budgets and process related budget paperwork.
  • Perform purchasing functions and assist in developing bid proposals for larger items.
  • Assist in the design, development, and implementation of process improvements.
  • Coordinate staff training and ensure materials are available via College systems.

Requirements

  • Associates degree in business administration, office management or related field.
  • Three years of experience providing complex administrative support to an executive, department, or program.
  • Intermediate skills in Microsoft Word and basic skills in Excel, Outlook, PowerPoint.
  • Experience providing customer service with a focus on inclusion and accessibility for a diverse community.
  • Experience working with and responding to people who may be experiencing crisis or elevated emotions.

Nice-to-haves

  • Experience working in a Human Resources department.
  • Experience in project management including planning, organizing, coordinating, and evaluating projects.
  • Experience providing support to management in a union environment including the collective bargaining process.
