With a commitment to providing exceptional healthcare services, Prime Healthcare is seeking a Human Resources Coordinator to join their corporate team. This full-time position is based in Chicago, IL, and plays a crucial role in the onboarding process and overall human resources management within the organization. The Human Resources Coordinator will work under the direct supervision of the Manager/Chief Human Resources Officer, ensuring that all HR functions are performed in accordance with established hospital procedures, policies, and standards. The primary responsibilities of the Human Resources Coordinator include managing recruitment processes, facilitating employee orientation, and conducting performance evaluations. The coordinator will prepare monthly reports on delinquent performance evaluations and maintain communication with managers and supervisors regarding employee performance management. Additionally, the role involves maintaining I-9 logs, conducting work permit audits, and ensuring compliance with employment verification processes. The coordinator will also handle incoming phone calls, provide accurate information, and assist in the preparation of various HR documents, including forms, memos, and routine correspondence. In this position, the Human Resources Coordinator will be responsible for maintaining current employee files in the Human Resources Information System (HRIS) and ensuring that all documentation is accurately filed. The coordinator will also manage the monthly license and certification report, verifying licenses online and notifying employees and managers of upcoming expirations. Furthermore, the coordinator will serve as a backup for logs related to Workers Compensation claims and will process reports in a timely manner, following up on any loss time claims to ensure proper handling. The Human Resources Coordinator will perform all duties as assigned or needed, contributing to the overall efficiency and effectiveness of the HR department.

Responsibilities

  • Perform tasks related to recruitment, orientation, and performance evaluations of employees.
  • Prepare a monthly listing of delinquent performance evaluations for distribution to managers/supervisors.
  • Keep the Manager of Human Resources informed about ongoing processes.
  • Prepare and manage the performance management program.
  • Maintain I-9 logs, including updates, renewals, and work permit audits on a monthly basis.
  • Furnish required information for employment verifications.
  • Answer incoming phone calls and provide accurate information or direct calls appropriately.
  • Type forms, memos, routine correspondence, and letters according to established guidelines.
  • Maintain current employee files in HRIS and physical folders.
  • Assist with the accurate filing of documents into employee personnel files.
  • Maintain a monthly license/certification report to ensure timely renewal of licensure and certifications.
  • Verify all licenses online to ensure primary source is complete.
  • Send notifications to employees and managers regarding upcoming license and certification expirations.
  • Backup on logs related to Workers Compensation claims and process reports timely.
  • Follow up with any loss time claims to ensure proper handling.
  • Perform all duties as assigned or needed.

Requirements

  • Bachelor's degree required or 6 years of related experience.
  • Must speak, read, and write English with the ability to compose correspondence displaying good command of the English language.
  • Strong interpersonal communication skills and personnel-related experience is required.
