About the position

The Human Resources Coordinator at Lincoln Public Schools plays a vital role in providing administrative and technical support to the Human Resources Department. This position is essential for delivering human resources services to employees, administration, and the general public in a professional and confidential manner. The coordinator will perform various assignments across different human resource functions and clerical tasks, ensuring that all operations run smoothly and efficiently. In this role, the coordinator will be responsible for complex administrative work that supports the Human Resources functions. This includes answering telephone inquiries, resolving problems, and responding to inquiries from the general public, administrators, and staff. The coordinator will also manage personnel files, conduct new hire onboarding, and process all necessary paperwork for new employees, including advising them on benefits eligibility and setting up their employment records. The coordinator will maintain a comprehensive system for personnel and medical records for all school employees, ensuring that all records are accurate and up to date. This includes processing employee status changes in the HR/Payroll automated system and maintaining effective communication with the Business Office & Payroll regarding personnel actions. Additionally, the coordinator will assist in the recruitment process, manage absence tracking systems, and support various reporting requests, ensuring compliance with school department policies and procedures.

Responsibilities

  • Perform complex administrative work to support the Human Resources functions.
  • Answer telephone, resolve problems and respond to inquiries, in person, via email or telephone.
  • Refer and respond to visitors; assist and answer questions of the general public, administrators, and staff.
  • File and maintain personnel files in an orderly fashion.
  • Conduct new hire onboarding and process all new employees by obtaining necessary paperwork and advising them of benefits eligibility.
  • Verify eligibility of all employees for personnel benefits in accordance with contractual requirements and school department policy.
  • Process enrollment of personnel benefits.
  • Review and ensure the accuracy and completeness of human resources documents such as personnel files and employee data forms.
  • Maintain a system for personnel and medical records for all school employees.
  • Keep employee records up to date by processing employee status changes into the HR/Payroll automated system.
  • Maintain effective communication with the Business Office & Payroll regarding all personnel actions and changes.
  • Reconcile/validate benefit invoices to ensure integrity.
  • Receive and establish files for transcripts, letters of reference, and similar documents pertinent to each job applicant.
  • Assist in maintenance of absence management system and provide support to employees on the system.
  • Monitor absence management system for correct posting of employee absences.
  • Coordinate and track BCI results for all district parents/volunteers.
  • Post and process substitute applicant information through SchoolSpring and the absence management system.
  • Coordinate and track all teacher RIDE certifications and send out appropriate reminders to administrators and teachers.
  • Assist in timely arrangement of all substitute needs in the school district.
  • Maintain a master list of current substitutes throughout the school year.
  • Maintain record of daily substitute assignments for the school year.
  • Coordinate and assist school principals with monthly and yearly evaluation process.
  • Process termination benefit paperwork.
  • Assist in COBRA requests and Open Enrollment process.
  • Support routine reporting requests, including running weekly and monthly reports.
  • Assist in OSHA process regarding employee injuries and reporting requirements.
  • Process daily incoming and outgoing mail, including interoffice mail.

Requirements

  • 2 years of experience in a human resources or administrative role.
  • Strong computer skills, including proficiency in HR software and Microsoft Office Suite.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Excellent communication skills, both verbal and written.
  • Strong organizational skills and attention to detail.

Nice-to-haves

  • Experience with SchoolSpring or similar recruitment software.
  • Knowledge of OSHA regulations and reporting requirements.
  • Familiarity with employee benefits administration.
