About the position

Volt is seeking a Human Resources Executive Assistant to join our team in Lake Buena Vista, FL. This role is pivotal in supporting the Enterprise Benefits Executives and overseeing the overall Benefits and Well-being programs for the entire organization. The successful candidate will play a crucial role in empowering employees to enhance their quality of life, enabling them to perform their best both at work and at home. The position requires a proactive individual who can effectively manage the functional and organizational needs of the team in a fast-paced environment. Strong technological skills, exceptional organization, and attention to detail are essential for success in this role. As a Human Resources Executive Assistant, you will provide day-to-day administrative support to the Enterprise Benefits Executives. This includes managing complex calendars across multiple time zones, reviewing schedules to allocate time for preparation and travel, and quickly pivoting to reschedule plans when conflicts arise. You will draft professional correspondence on behalf of your leaders, plan and create travel itineraries considering various factors such as time zones and potential delays, and interact with a diverse range of internal and external partners on behalf of the leadership team. In addition to administrative tasks, you will be responsible for onboarding new employees, managing office supplies, and ensuring effective distribution of work among peers. You will also create and format PowerPoint presentations and Microsoft Word documents for executive audiences, draft meeting agendas, and triage benefits-related mail. This position is a full-time, 4-month hybrid contract opportunity, requiring onsite work from Monday to Thursday and remote work on Fridays.

Responsibilities

  • Provide day-to-day administrative support to Enterprise Benefits Executives
  • Manage complex calendars across multiple time zones
  • Review leaders' schedules to allocate time for preparation and travel
  • Reschedule plans quickly when conflicts arise
  • Draft professional correspondence on behalf of leaders
  • Plan and create travel itineraries considering time zones and potential delays
  • Interact with internal and external partners on behalf of leadership
  • Provide administrative and office support as required
  • Plan smaller-scale team gatherings
  • Onboard new employees and answer their questions
  • Purchase office supplies and manage invoices and vendor contracts
  • Collaborate with peers for effective work distribution
  • Create and format PowerPoint presentations for executive audiences
  • Draft Microsoft Word documents for high-level audiences
  • Draft agendas for various meetings
  • Triage benefits mail to appropriate parties
  • Provide backup support for gym front desk

Requirements

  • At least three years of experience supporting a Director or above
  • Ability to handle highly confidential and sensitive information
  • Sharp written and verbal communication skills
  • Ability to prioritize tasks in a fast-paced environment
  • Strong proficiency with computers, phones, and office equipment
  • Advanced proficiency in Microsoft Office programs including Outlook, Word, PowerPoint, and Excel
  • Strong skills in SAP, Sharepoint, Concur, Slack, and Zoom
  • Genuine desire to assist leaders and co-workers
  • Highly detail-oriented and organized with strong proofreading skills
  • Ability to improve existing processes proactively
  • Ability to manage multiple projects and deadlines calmly
  • Commitment to develop trusting relationships with team and peers
  • Availability to work overtime without prior notice
  • Professional demeanor and positive outlook
