About the position

International Aerospace Coatings (IAC) is seeking a dedicated Site Administrator for its Victorville, CA location. The Site Administrator plays a crucial role in ensuring the efficient operation of the site by managing day-to-day administrative tasks and supporting the human resources department. This position serves as the primary point of contact for the site, responsible for welcoming visitors and clients, coordinating site tours, and handling various administrative duties as assigned. In this role, the Site Administrator will be involved in several functional areas, including training, benefits administration, and employment processes. Key responsibilities include recruitment and staffing logistics, such as conducting phone screenings for applicants, assisting with new hire onboarding, and managing the new hire paperwork. The Site Administrator will also be responsible for general clerical duties, including answering and directing phone calls, managing incoming and outgoing mail, and maintaining employee files. Additionally, the role requires coordination with vendors for office supplies and other necessary materials, as well as liaising between the facility and corporate HR. The ideal candidate will possess strong oral and written communication skills, experience in recruitment and onboarding, and excellent interpersonal and organizational abilities. Familiarity with database management and record-keeping is essential, along with the ability to maintain confidentiality and resolve problems efficiently. Knowledge of Paycom is a plus, and bilingual proficiency in Spanish is also preferred. This full-time position offers a competitive hourly wage of $19.00 to $21.00, along with a comprehensive benefits package that includes medical, dental, vision, and retirement plans.

Responsibilities

  • Answer, screen and transfer inbound phone calls.
  • Partner with hiring managers to set up interviews and complete offer letters.
  • Post job ads and prescreen candidates for recruitment.
  • Conduct background checks and pre-employment drug tests.
  • Process E-Verify and manage badging for the facility.
  • Administer new hire paperwork and conduct new hire orientation.
  • Perform general clerical duties including photocopying, faxing, and scanning.
  • Manage incoming and outgoing mail and shipping.
  • Work with vendors to order office supplies and coffee.
  • Create and maintain employee files and proper filing of documents.
  • Handle employee requests for information and data.
  • Prepare and modify documents including correspondence, reports, and memos.
  • Act as a liaison between the facility and corporate HR.
  • Schedule random DOT testing at the facility.
  • Coordinate travel plans and other arrangements as needed.
