About the position

Cal State LA University Auxiliary Services, Inc. (UAS) is seeking a Human Resources Generalist I to assist in the day-to-day operations of both the Human Resources and Payroll Departments. This full-time position operates Monday through Friday from 8:00 am to 5:00 pm and is classified as a non-exempt position. The Human Resources Generalist I will play a crucial role in maintaining digital employment records, providing clerical assistance to the Human Resources manager, and serving as a backup for payroll processing. The essential functions of this role include assisting with all human resources activities, communications, reports, requests, and data entry. The Generalist will communicate, prepare, and send information to UAS employees through various methods such as phone, text, email, Zoom, and in-person interactions. Responsibilities also encompass assisting with recruitment plans, job postings, interview schedules, and performance evaluation standards in accordance with HR methodologies and labor laws. Additionally, the Generalist will assist with recording Paid Time Off (PTO), Leaves of Absence (LOA), and holiday information onto the ADP system. They will also handle payroll functions, including processing payroll, answering employee questions, and fixing processing errors. Maintaining professional relationships with Principal Investigators (PIs), budget analysts, and department supervisors is essential, as is helping employees and faculty with questions regarding UAS forms, policies, and procedures. The role requires maintaining the integrity and confidentiality of human resource files and records, performing periodic audits, and ensuring the proper completion of new hire documentation. The Human Resources Generalist I will also assist with onboarding new employees, conducting orientations, ensuring the completion of employee I-9 forms in the E-Verify system, and managing onboarding tasks and training assignments. The position requires the ability to prioritize administrative tasks, set deadlines, and complete projects in a timely manner while performing other related duties as assigned.

Responsibilities

  • Assist with all human resources activities, communications, reports, requests, and data entry.
  • Communicate, prepare, and send information to UAS employees utilizing various communication methods.
  • Assist with recruitment plans, job postings, interview schedules, and performance evaluation standards.
  • Record PTO, LOA's, and holiday information onto ADP.
  • Assist with payroll functions including processing and answering employee questions.
  • Maintain professional working relationships with PIs, budget analysts, and department supervisors.
  • Help employees/faculty with questions on UAS forms, policies, and procedures.
  • Maintain the integrity and confidentiality of human resource files and records.
  • Perform periodic audits of human resources files and records.
  • Review new hire documentation for completion.
  • Assist with setting up new employees in ADP as needed.
  • Conduct or assist with new hire orientations as needed.
  • Ensure proper completion of employee I-9 forms in the E-Verify system.
  • Scan and create employee folders.
  • Schedule and coordinate onboarding assignments and mandatory training sessions.
  • Follow up with employees and supervisors to ensure onboarding tasks and training assignments are completed.
  • Assist with the development of the Affirmative Action Plan.
  • Manage the duties of the position, prioritize tasks, set deadlines, and complete projects accordingly.

Requirements

  • 3+ years of Human Resources and/or payroll experience.
  • Excellent written and verbal communication skills.
  • Excellent interpersonal, leadership, training, developmental skills, negotiation, and conflict resolution skills.
  • Proficient with Microsoft Office or related software.
  • Strong attention to detail.
  • General understanding of labor laws.

Nice-to-haves

  • ADP Workforce Now experience with Time and Attendance and/or Human Resource Module.
  • A bachelor's degree in a related field is preferred.
