About the position

The Human Resources Assistant at The Ritz-Carlton Bachelor Gulch plays a crucial role in supporting management and the leadership team in addressing and resolving various Human Resources issues. This position involves assisting employees with both internal and external transfer requests and procedures, ensuring a smooth transition for staff members. The HR Assistant will monitor and assist managers and supervisors throughout the hiring process, ensuring compliance with all local, state, and federal laws as well as company policies and standards. This includes coordinating and conducting applicant drug screens, reference checks, background checks, motor vehicle checks, and social security number verification. In addition to recruitment support, the HR Assistant will maintain various logs related to applicant flow, drug screens, orientation, and transfer requests. They will also be responsible for creating and maintaining new hire and personnel files, entering this information into the Human Resources Information Systems. The role includes assisting with the orientation of new employees, ensuring they are well-integrated into the company culture and aware of their responsibilities. The HR Assistant will also support the processing and maintenance of payroll records, ensuring accuracy and compliance with established policies and procedures. The position requires the HR Assistant to inform Human Resources management of any issues related to employee relations within the division or property. They will create and maintain filing systems, generate HR data reports as needed, and handle phone calls and office correspondence professionally. As a subject matter expert in Human Resources, the HR Assistant will participate in project teams and train new hires on HR processes, programs, policies, and information systems. Maintaining confidentiality of proprietary information and adhering to company policies and procedures is essential. The HR Assistant will also be expected to develop and maintain positive working relationships with colleagues, supporting the team in reaching common goals and responding appropriately to employee concerns.

Responsibilities

  • Assist and support management and the leadership team with handling and resolving Human Resources issues.
  • Assist employees with internal and external transfer requests and procedures.
  • Monitor and assist managers/supervisors with hiring processes and issues.
  • Coordinate and conduct applicant drug screens, reference checks, background checks, motor vehicle checks, and social security number verification.
  • Maintain applicant flow, drug screen, orientation and transfer request logs.
  • Create and maintain new hire and personnel files and enter them into Human Resources Information Systems.
  • Assist with orientation of new employees.
  • Monitor all hiring and recruitment processes for compliance with local, state, and federal laws and company policies and standards.
  • Ensure accurate maintenance of all employee records and files (e.g., interview documents, I-9's).
  • Support processing and maintenance of payroll records in accordance with policies and procedures, as necessary.
  • Inform Human Resources management of issues related to employee relations within the division or property.
  • Create and maintain filing systems.
  • Generate Human Resources data reports as necessary.
  • Answer phone calls and record messages.
  • Create and type office correspondence using computer.
  • Serve as Human Resources subject matter expert and participate on project teams.
  • Train new hires on Human Resources processes, programs, policies, information systems, etc.
  • Follow all company policies and procedures; ensure uniform and personal appearance are clean and professional; maintain confidentiality of proprietary information.
  • Speak with others using clear and professional language; prepare and review written documents accurately and completely; answer telephones using appropriate etiquette.
  • Develop and maintain positive working relationships with others; support team to reach common goals; listen and respond appropriately to the concerns of other employees.
  • Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance.
  • Perform other reasonable job duties as requested by Supervisors.

Requirements

  • High school diploma or G.E.D. equivalent.
  • At least 1 year of related work experience.
  • No supervisory experience required.
  • No specific license or certification required.
