About the position

The HALO Foundation believes every child should have the support of a family. We provide housing, healing, and education services to thousands of homeless and at-risk children. HALO is seeking a Human Resource Assistant to join the HALO family with a passion for the HALO mission of helping one more child spend one less day alone. The ideal candidate for this role should possess a strong work ethic, excellent communication, organizational and relationship skills, attention to detail, and commitment to building a positive culture of excellence to help the HALO team serve kids in the greatest need. In this part-time position, the Human Resource Assistant will be involved in various aspects of the recruitment and new hire process, including posting job ads, organizing resumes, scheduling interviews, and ensuring that all necessary paperwork is collected and updated in our systems. The role also includes overseeing the onboarding process for new employees, ensuring they are oriented to HALO and have the necessary resources to succeed. Additionally, the assistant will coordinate employee engagement activities and support supervisors in employee disciplinary conversations. The position also involves payroll and benefits administration, where the assistant will assist in the monthly payroll process, communicate with supervisors regarding payroll questions, and serve as a point of contact with benefit vendors. Maintaining accurate HR records and databases is crucial, as well as performing audits and reconciliations related to payroll and benefits. The ideal candidate will demonstrate strong problem-solving skills, interpersonal skills, and a high level of computer literacy, particularly with software such as Paycom, MS Office, and G-Suite.

Responsibilities

  • Participate in recruitment efforts - Post job ads, organize resumes and job applications, attend recruitment fairs.
  • Schedule job interviews and assist in the interview process.
  • Collect paperwork of candidates and employees and update individual records via Paycom.
  • Ensure background and reference checks are completed.
  • Prepare new employee files, including running E-Verify and I-9 documentation.
  • Oversee completion of various compensation and benefit documentation, including Vacation/PTO Policies, Health Insurance, and 403b retirement plan.
  • Orient new employees to HALO, including setting up designated log-in, workstation, email address, etc.
  • Serve as a point person for employee questions and provide employee support.
  • Ensure all HALO onboarding trainings assigned in Paycom are communicated and completed on time with the HALO manager and employee.
  • Coordinate employee engagement activities such as a wellness program and employee appreciation campaigns.
  • Support supervisors in employee disciplinary conversations and maintenance of employee warning system.
  • Be the point of contact for employee concerns regarding supervisors, work conditions or ethical practices.
  • Support all internal and external HR-related inquiries or requests.
  • Conduct employee exit interviews to identify ways to improve staff retention and prepare a summary of findings for staff.
  • Assist in the HALO Headquarters office move to new location and set up.
  • Assist in the monthly payroll process, which includes ensuring vacation and sick time are tracked in the system.
  • Communicate with supervisors regarding any payroll questions or concerns.
  • Answer employee payroll questions.
  • Serve as a point of contact with benefit vendors/administrators.
  • Facilitate resolutions to any payroll errors.
  • Participate in benefits tasks, such as providing benefit information, following up with employee sign-up and ensuring employees are fully aware of benefits, and resolve claim issues.
  • Maintain current HR files and databases utilizing Paycom software.
  • Update and maintain employee benefits, employment status, and similar records.
  • Maintain records related to grievances, performance reviews, and disciplinary actions.
  • Perform file audits to ensure that all required employee documentation is collected and maintained.
  • Perform payroll/benefit-related reconciliations.
  • Perform payroll and benefits audits and recommend any corrective action.
  • Schedule and attend employee reviews, when necessary.
  • Complete termination paperwork and assist with exit interviews.

Requirements

  • Familiarity with Paycom and Health insurance apps.

Nice-to-haves

  • Payroll experience is preferred but not necessary.
  • Bachelor's degree in human resources, finance, or business administration preferred.
