About the position

The Human Resources Generalist position at Giesecke+Devrient is a full-time role based in Bolingbrook, IL, reporting directly to the Senior HR Business Partner. This position is pivotal in managing the complete lifecycle of the employee experience, which encompasses onboarding, daily HR operations, and exit procedures. The ideal candidate will be a proactive and knowledgeable professional, capable of handling a variety of administrative and strategic responsibilities. The role requires a strong understanding of HR operations and legal compliance, as well as the ability to communicate effectively with a diverse audience. In this role, the HR Generalist will be responsible for routing offer letters and Confidentiality Agreements to selected candidates, initiating the background check process, and facilitating the completion of new hire paperwork. The position also involves advising hiring managers on the process for requesting new hire assets and coordinating with various departments to ensure that workspaces are prepared for new hires. The HR Generalist will conduct employee orientations, manage I-9 verifications, and maintain accurate employee records. Additionally, the role includes processing employee referral bonuses and recognition awards, handling Workers' Compensation claims, and ensuring compliance with internal policies and guidelines. The HR Generalist will also be tasked with updating attendance trackers and reporting timekeeping systems, processing changes in employee status, and preparing HR communication boards to ensure that all employees have access to necessary HR information. This position is essential for fostering a positive employee experience and ensuring that HR operations run smoothly and efficiently.

Responsibilities

  • Route offer letters and Confidentiality Agreements to selected candidates.
  • Initiate the background check process with candidates and monitor the clearance process.
  • Facilitate and monitor the completion of new hire paperwork using Adobe Sign or similar platforms.
  • Advise hiring managers of the process for requesting new hire assets.
  • Coordinate cross-functionally to determine the work location for new hires and ensure that the space is prepared and conducive for work.
  • Ensure hiring managers are kept informed of candidate clearance and start date.
  • Prepare and conduct employee orientation and distribute onboarding materials.
  • Complete and file new hire PAF (Personnel Action Forms) and new hire paperwork.
  • Enter new hire information into HRIS.
  • Manage the I-9 verification and E-verify process to ensure compliance with federal regulations.
  • Maintain updated and accurate employee records and documentation.
  • Update attendance trackers and reporting timekeeping systems.
  • Process employee referral bonuses and recognition awards to ensure compliance with internal policies and guidelines.
  • Prepare and update HR communication boards to ensure that all employees have access to necessary HR information.
  • Process changes in employee status and update PAFs as required.
  • Handle Workers' Compensation claims and ensure proper documentation and compliance.

Requirements

  • Bachelor's degree in Human Resources, Business Administration, or a related field.
  • 5+ years of experience as Human Resources Generalist.
  • Experience in a Manufacturing environment required.
  • Experience with HRIS (such as ADP).
  • Familiarity with ATS and Employee Management Systems preferred.
  • Strong understanding of HR operations and legal compliance.
  • Ability to communicate effectively, both verbally and in writing, to a diverse audience.
  • Excellent organizational, time management, and problem-solving skills.
  • Strong attention to detail required.
  • Ability to handle confidential information with discretion.
