About the position

We are in search of a Human Resources (HR) Assistant to augment our team in Kalamazoo, Michigan. This role entails aiding in HR functions such as recruitment, onboarding, and personnel file maintenance. The HR Assistant will also be involved in scheduling interviews, handling phone screenings of candidates, and managing calendars. This role offers a short-term contract employment opportunity. The HR Assistant will play a crucial role in supporting the HR department by ensuring that all HR activities adhere to compliance norms and that the recruitment process runs smoothly. The position requires a proactive individual who can manage multiple tasks efficiently and maintain a high level of confidentiality in handling sensitive employee information. The ideal candidate will be detail-oriented and possess strong communication skills to effectively interact with candidates and team members alike.

Responsibilities

  • Assist with the recruitment process including sourcing candidates and scheduling interviews.
  • Conduct phone screenings of potential candidates.
  • Manage appointment setting and calendar management using Microsoft Outlook.
  • Maintain and update personnel files for all employees.
  • Assist in onboarding new employees and ensuring a smooth transition into the company.
  • Utilize Microsoft Excel and other relevant software for data entry tasks.
  • Ensure accurate record-keeping of employee information in the Applicant Track System.
  • Utilize social media platforms for recruitment and employer branding.
  • Support the HR Generalist in daily administrative tasks.
  • Ensure all HR activities adhere to compliance norms.

Requirements

  • Minimum of 1 year experience in a Human Resources role or related field
  • Proficiency in Microsoft Excel and Microsoft Outlook
  • Experience with Applicant Track Systems
  • Proven ability in data entry
  • Familiarity with social media platforms for recruitment purposes
  • Demonstrated skill in calendar management and scheduling interviews
  • Ability to assist with onboarding new employees
  • Experience with personnel file maintenance and ensuring confidentiality
  • Proven ability in recruiting and sourcing candidates
  • Ability to work well in a team environment and independently
  • Strong written and verbal communication skills
  • Excellent organizational skills and attention to detail
  • Ability to maintain confidentiality and handle sensitive information with discretion.
