About the position

The Human Resources Onboarding Coordinator at Ellis Medicine is responsible for managing the end-to-end onboarding process for new hires, ensuring a smooth transition into the organization. This role involves coordinating various aspects of onboarding, including background checks, orientation sessions, and compliance with HR policies. The position requires strong organizational skills and the ability to interact effectively with candidates and internal stakeholders.

Responsibilities

  • Successfully coordinate all aspects of the Onboarding process, including background checks, reference checks, pre-employment medical exams, and Criminal History Record Check (fingerprinting process).
  • Support logistical planning for and facilitate New Employee Orientation sessions.
  • Provide timely updates to recruiters, hiring managers, and candidates.
  • Ensure candidates are fully cleared before employment begins at Ellis.
  • Enter new employees into the computer system and prepare new hire personnel paperwork.
  • Maintain accurate and well-ordered documentation of candidates throughout the Onboarding process.
  • Meet with candidates to assist with pre-employment paperwork submissions.
  • Create candidate files and ensure proper dispositioning of all candidates.
  • Ensure all new employee files are HR and Joint Commission compliant.
  • Provide onboarding support for the hospitalist residency program.
  • Interact with and support hiring managers throughout the recruitment process.
  • Advise HR leadership of potential HR-related issues and recommend and implement solutions as appropriate.
  • Stay current on compliance regulations pertaining to personnel file and I-9 retention.
  • Provide assistance in all HR areas regarding policies, procedures, and programs.
  • Answer basic functional questions and refer more complex HR matters to appropriate resources.
  • Assist the HR team and management with strengthening and enhancing the company's HR programs, policies, and processes.
  • Enhance, conduct, and/or assist with the administration of the company's internal training programs to align with long-term HR goals and objectives.
  • Maintain and safeguard confidential candidate and new employee information.
  • Assist with miscellaneous local recruiting and retention activities.

Requirements

  • High school graduate; Associate degree preferred.
  • Two (2) to three (3) years of experience in Human Resources preferred.
  • Clerical, organizational, time management, and computer skills (including Microsoft 365).
  • Strong attention to detail and ability to meet strict deadlines.
  • Ability to interact with applicants, internal customers, and external vendors confidently and proactively.
  • Strong verbal and written communication skills.
