About the position

The Human Resources Onboarding Specialist plays a crucial role in providing HR support and guidance to managers and employees, particularly in the areas of onboarding and talent acquisition. This position is responsible for facilitating the onboarding process for new hires, ensuring compliance with HR policies, and collaborating with various departments to streamline recruitment and onboarding activities.

Responsibilities

  • Provide human resources support and guidance to managers and employees in resolving general employment matters.
  • Assist employees in understanding human resources policies and programs, and in resolving employment and work-related questions or issues.
  • Resolve manager and employee questions or concerns related to the HRIS system in partnership with the HRIS team.
  • Partner with benefits, leave administrator, and HRBP to ensure compliance with the leave process, tuition reimbursement, and policy guidelines.
  • Coach leaders and employees towards following appropriate processes and utilizing available resources.
  • Act as the point of contact for new hires and hiring leaders regarding pre-employment screening, new hire onboarding, and IT.
  • Transition assigned new hires and providers from 'offer accepted' through 'hired' status, including initiating and tracking pre-employment drug and background screenings and credentialing.
  • Collect required educational, license, and certification documents from new hires.
  • Move candidates to hired status following successful pre-employment screening.
  • Collaborate with HRIS to troubleshoot failed transitions from ATS into HRIS or payroll.
  • Facilitate New Employee Orientation and New Physician Orientation, including scheduling and managing attendees.
  • Initiate and execute the pre-employment and onboarding process of new physicians and providers.
  • Gather relevant documentation and implement metrics and reporting for recruitment needs.
  • Onboard new hires into the HRIS system and intranet, including background checks and mandatory documentation.
  • Collaborate with Finance, Payroll, Credentialing, HR, and other departments to ensure proper entry and payment of physicians and providers.
  • Process sign-on, relocation, loan repayment, and catalyst bonus payments.
  • Facilitate onboarding welcome emails, intake forms, and new hire information to corresponding departments.
  • Provide administrative support to Physician and Provider Recruitment staff, including coordinating travel arrangements and appointment schedules.
  • Maintain reimbursements, expense reports, and credit card statements for the department and physicians.
  • Coordinate and assist with the execution of Physician Recruitment activities such as interviews, job fairs, and events.
  • Respond to inquiries from candidates or students seeking clinical site placements.
  • Prepare various documents and handle confidential matters in accordance with practice rules and procedures.
  • Assist in compliance of financial, statistical data, and reports as assigned.

Requirements

  • Bachelor's degree required.
  • 2 years of experience working within human resources required.
