About The Position

The Human Resources Onboarding Specialist at Orlando Health serves as a key point of contact for new hires and transfers, ensuring a smooth onboarding process. This role emphasizes service excellence, requiring the specialist to assist in collecting necessary documentation and providing clearance for hire. The position involves processing onboarding transactions accurately and timely, while maintaining confidentiality and compliance with relevant policies and laws.

Requirements

  • Bachelor's degree in Human Resources, Business, Communications, or related field or equivalent.
  • Two (2) years' experience in Human Resources or administrative support role.
  • Knowledge of Microsoft Office products, including intermediate to advanced Excel and Outlook skills.
  • Familiarity with Federal, State, Equal Employment Opportunity (EEO) and human rights guidelines and laws.
  • Knowledge of record retention and release of information laws.

Responsibilities

  • Welcomes new hires via telephone and email, detailing all requirements needed for onboarding.
  • Works closely with Recruiter and future Team Members to collect onboarding documents.
  • Processes transactions related to core human resources data, including personal information and employment details, within defined timeframes.
  • Administers and maintains assigned Human Resources programs.
  • Provides excellent customer service to all levels of the organization.
  • Responds to inquiries with accurate information based on Orlando Health policies and applicable laws.
  • Addresses issues and concerns in a timely manner while maintaining a professional attitude.
  • Assists customers in completing HR-related forms and applications.
  • Maintains confidentiality when researching and resolving customer concerns.
  • Maintains accurate information in the Human Resources Information Systems (HRIS).
  • Queries, audits, and compiles reports from the HR database as needed.
  • Makes recommendations for process improvements to enhance efficiency and customer service.
  • Escalates customer concerns to Manager and/or Director when necessary.
  • Maintains regular, punctual attendance consistent with Orlando Health policies and standards.
  • Tracks and reports on trends and developments in onboarding processes.
  • Participates in working groups, councils, and committees to support departmental goals.
  • Seeks to improve the overall function of the department.
  • Attends meetings and presents information as requested.
  • Assumes responsibility for ongoing professional development and continuing education.
  • Organizes, manages, and completes special projects as assigned.
