About the position

The Human Resources Operations Data Specialist at Virginia's Community Colleges System (VCCS) plays a crucial role in enhancing the efficiency of human resource management within the organization. This position is situated within the VCCS Shared Services Center, which is strategically designed to streamline administrative functions across all 23 colleges in the system. The primary focus of this role is to support student success by reducing the administrative burden on individual colleges, thereby allowing them to concentrate resources on student engagement and achievement. The specialist will be responsible for executing and verifying onboarding and offboarding processes, ensuring that data is accurately entered into multiple Human Resource Information Systems (HRIS). This role also involves providing functional and procedural support to HR Operations Technicians, investigating system issues, and communicating updates regarding system functionality to relevant stakeholders. In addition to these core responsibilities, the Human Resources Operations Data Specialist will engage in various administrative tasks that require a keen attention to detail and strong organizational skills. The position demands proficiency in Microsoft Office applications, particularly Excel and Word, as well as a solid understanding of HRIS systems and data management practices. The specialist will be expected to analyze data, produce reports, and maintain employment files while ensuring the confidentiality of sensitive information. The ability to work independently and collaboratively within a team is essential, as is the capacity to manage multiple projects and meet deadlines in a fast-paced environment. The role may also require travel to the System Office or other colleges for training and meetings, emphasizing the need for flexibility in working hours.

Responsibilities

  • Execute and verify onboarding and offboarding processes.
  • Enter data into multiple HRIS systems accurately and timely.
  • Provide functional and procedural support to HR Operations Technicians.

Requirements

  • Experience handling multiple administrative tasks/assignments simultaneously.
  • Multiple years of customer service experience.
  • Previous experience in data entry.
  • Advanced experience with Microsoft Office applications.
  • Experience managing system processes and data integrity within Enterprise HRIS systems.
  • Experience with state and federal laws related to employment.
  • Experience in human resources and delivering training.

  • Experience with DHRM and VCCS hiring policies and procedures.
  • Experience working in a higher education environment.
  • Process improvement experience.
  • PHR, SPHR and/or SHRM-CP, SHRM-SCP certification.
