The Human Resources Operations Data Specialist at Virginia's Community Colleges System (VCCS) plays a crucial role in enhancing the efficiency of human resource management within the organization. The specialist will be responsible for executing and verifying onboarding and offboarding processes, ensuring data integrity across multiple HRIS systems, and providing support and guidance to HR Operations Technicians. This role requires a proactive approach to problem-solving and the ability to communicate effectively with various stakeholders, including leadership and external HR resources. In addition to technical responsibilities, the specialist will engage in process improvement initiatives, helping to identify and implement solutions that enhance operational efficiency. The position demands strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously in a fast-paced environment. The specialist will also be responsible for maintaining confidential information, producing necessary documents and reports, and ensuring that user data is accurate and up-to-date in the HRIS systems. The role may require flexible working hours and occasional travel to the System Office or other colleges for training and meetings. Overall, the Human Resources Operations Data Specialist is integral to the VCCS's mission of maximizing resources for student success while ensuring compliance with state and federal employment regulations. Responsibilities

  • Execute and verify onboarding and offboarding processes.
  • Enter data into multiple HRIS systems.
  • Provide functional and procedural support to HR Operations Technicians.
  • Investigate and resolve system issues, providing timely updates to stakeholders.
  • Organize and maintain employment files.
  • Produce documents and reports as needed.
  • Ensure user data is accurate and updated in HRIS systems.
  • Analyze issues and recommend actions.
  • Manage, track, and complete multiple projects or tasks simultaneously.

Requirements

  • Knowledge of basic math, telephone procedures, and standard business communications.
  • Proficiency in Microsoft Office programs such as Excel and Word.
  • Understanding of HRIS computer systems and data management.
  • Familiarity with state and federal employment practices and regulations.
  • Experience in process improvement techniques.
  • Strong verbal communication, writing, and proofreading/editing skills.
  • Attention to detail and organizational skills for timely processes.
  • Advanced customer service skills.
  • Critical thinking and analytical skills.
  • Proven problem-solving abilities.

  • Experience with DHRM and VCCS hiring policies and procedures.
  • Experience working in a higher education environment.

  • PHR, SPHR and/or SHRM-CP, SHRM-SCP certifications.
