About the position

The Human Resources Operations Specialist plays a crucial role in managing various HR functions within the organization. This position is responsible for overseeing HRIS maintenance, payroll processing, timekeeping, leave administration, benefits management, recruitment, and onboarding of new hires. The specialist will ensure that the facility is well-prepared to meet employee needs, manage vendor relations, and provide executive administrative support to global executives. Additionally, the role involves participation in key projects as a member of the Global Dispensing HR team. In terms of HR duties, the specialist will manage the HRIS, payroll, and timekeeping systems, ensuring data integrity and accuracy. They will lead the annual benefits open enrollment process, addressing all communications and employee inquiries regarding benefits. Payroll activities will include processing payroll for approximately 90 hourly and salaried employees on a bi-weekly basis, which encompasses payroll data entry, source document tracking, and verification of payroll activities. The specialist will also manage employee personnel files, both hardcopy and electronic, and coordinate recruitment efforts, including job postings, interview scheduling, and candidate hosting. The role also includes leave management administration, generating HR metrics, reports, and surveys as requested by the business, and managing all workers' compensation claims. The specialist will lead community impact committees and implement process improvements as necessary. Office management responsibilities include supporting the Global President with administrative tasks, coordinating onsite meetings and visitor arrangements, and preparing reports and presentations as needed. The ability to respond quickly to changing demands and anticipate deviations from schedules is essential for success in this role.

Responsibilities

  • Manage HRIS, payroll, and timekeeping systems ensuring data integrity.
  • Lead the annual benefits open enrollment process and address employee benefit inquiries.
  • Process payroll for approximately 90 employees bi-weekly, including data entry and verification.
  • Manage employee personnel files, both hardcopy and electronic.
  • Coordinate recruitment efforts including job postings, interview scheduling, and candidate hosting.
  • Conduct new employee orientation and coordinate HR communications and activities.
  • Administer leave management and manage workers' compensation claims.
  • Support the Global President with administrative tasks including calendar maintenance and travel arrangements.
  • Prepare reports, presentations, and complex documents as needed.
  • Coordinate virtual meetings and prepare expense reports for global leaders.

Requirements

  • Bachelor's degree in business, human resources, or related field.
  • Minimum of 3 years of human resource experience in a comparable role, preferably in manufacturing.
  • Experience with HRIS, timekeeping, and payroll systems (Workday and Dimensions preferred).
  • Strong attention to detail and organizational skills.
  • Ability to work in a fast-paced, deadline-oriented environment.
  • Excellent interpersonal, oral, and written communication skills.
  • Proficiency in Microsoft Office applications, especially Excel, Word, and Outlook.
  • Experience maintaining confidentiality and knowledge of employee relations laws.
