About the position

The Human Resources Records Specialist at Laredo College is responsible for the accurate and timely maintenance of employee records, ensuring compliance with legal and college standards. This role involves managing HR databases, performing regular audits, generating reports, and providing administrative support to the HR department. The specialist will also be cross-trained in general HR processes to assist the team effectively.

Responsibilities

  • Maintain and update employee records using the department's records management system.
  • Secure and protect the confidentiality of employee records.
  • Review and maintain personnel records in accordance with College and regulatory requirements.
  • Scan personnel files and maintain the electronic records management system.
  • Respond to file requests from auditors, employees, supervisors, and regulatory compliance agencies.
  • Follow and maintain the records retention program for easy retrieval of employee historical data.
  • Provide customer service by effectively communicating in writing and orally when responding to requests/inquiries.
  • Maintain personnel databases and ensure data security and integrity.
  • Assist the HR team with requests, projects, and reports as needed.
  • Assist in College events such as In-Service, Convocation, Graduation, and Employee Recognition.

Requirements

  • Associate's degree in business, computer science, accounting, or related field.
  • One to three years of relevant work experience in data entry, computer operation, or records management.
  • Valid Texas Driver's License.
  • High level of interpersonal skills to handle sensitive and confidential situations.
  • Strong analytical skills and research capabilities.
  • Exceptional oral and written communication skills.
  • Knowledge of office administration procedures.
  • Ability to operate standard office equipment.
  • Familiarity with technology and related software applications.
  • Detail-oriented with solid organizational skills.

Nice-to-haves

  • Certification in software applications including Office 365.
