About the position

The Human Resources Records Specialist is responsible for the accurate and timely maintenance of employee records at Laredo College. This role involves updating personnel files, managing HR databases, ensuring compliance with legal and college standards, and performing regular audits and reports. The specialist will also provide support to the HR department by being cross-trained in general HR processes.

Responsibilities

  • Maintain and update employee records using the department's records management system.
  • Secure and protect the confidentiality of employee records.
  • Review and maintain personnel records in accordance with College and regulatory requirements.
  • Scan personnel files and maintain the electronic records management system.
  • Respond to file requests from auditors, employees, and regulatory compliance agencies.
  • Follow and maintain records retention program for easy retrieval of employee historical data.
  • Provide customer service by effectively communicating in writing and orally.
  • Maintain personnel databases and ensure data security and integrity.
  • Assist the HR team with requests, projects, and reports as needed.
  • Assist in College events such as In-Service, Convocation, Graduation, and Employee Recognition.

Requirements

  • Associate's degree in business, computer science, accounting, or related field.
  • One to three years of relevant work experience in data entry, computer operation, or records management.
  • Valid Texas Driver's License.

Nice-to-haves

  • Certification in software applications including Office 365.
