The Human Resources Specialist position is a vital role within the Human Resources Office, operating under the supervision of the Director of Human Resources and closely guided by the Assistant to the Director. This position is primarily responsible for the procurement and assignment of temporary substitutes for teachers, ensuring that the educational environment remains uninterrupted during staff absences. The specialist will select and instruct substitute candidates, providing them with the necessary information and support to perform their duties effectively. Daily reporting of substitute assignments to building principals and head secretaries is a critical task, as is maintaining an accurate daily substitute teacher log. The individual in this role must demonstrate reliability and punctuality, as well as the ability to communicate discrepancies to the Director of Human Resources or other administrative officers as needed. In addition to the core responsibilities, the Human Resources Specialist will serve as a confidential team member, coordinating the daily dispatch of substitutes for temporarily absent personnel. This includes proactively placing substitutes for known future absences and tracking personal leave requests to ensure adequate coverage. The specialist will also coordinate with principals and organizers of special professional or in-service events that require substitute coverage. A key aspect of the role involves selecting, conferring with, and instructing new substitute applicants, providing constructive feedback to help them improve. The specialist will also be responsible for handling reports of on-job injuries from employees, tracking related absences, and maintaining Workers' Compensation files. This includes filing required reports to the Workers' Compensation agency in accordance with District policy and legal requirements, as well as completing annual OSHA reports. Confidentiality is paramount, especially when dealing with medical information and maintaining required records. The specialist will assist in the procurement of qualified long-term substitutes when necessary and maintain records of other temporary employees, ensuring that the appropriate hiring processes and forms are completed. Additionally, the specialist will assist with New Employee Orientation, which includes processing fingerprint background checks, setting up files, and following up on any missing forms or information. The role may also involve assisting other members of the department as needed and performing other tasks as assigned by the Director of Human Resources.
