About the position

This HR Specialist position is within the Workforce Rewards and Support department and provides a broad range of benefits administration to HMIS and the Hanford site. The role is characterized by a high degree of autonomy, requiring the specialist to operate effectively in a complex and time-sensitive environment. The ideal candidate will be a highly motivated team member who is professional, organized, and customer-service oriented, serving as a subject matter expert in the operational administration of the Hanford Employee Welfare Trust (HEWT) benefit plans. The HR Specialist will be responsible for maintaining the summary plan documents, updating policies and procedures, and providing interpretations as necessary. This position also involves cross-training administrative staff and offering decision-making support as a subject matter expert. The specialist will handle issue resolution and communicate effectively with stakeholders regarding benefits-related matters. Additionally, the role includes contract support, which may involve coordinating legal opinions with plan counsel when necessary. Compliance with Collective Bargaining Agreements is crucial, and the HR Specialist must work closely with Labor Relations teammates. The position also entails delivering new hire orientation presentations, management training, and preparing special reports by collecting, analyzing, and summarizing relevant information. Regular collaboration with other departments and contractors is expected, along with pulling queries from the PeopleSoft HRIS database and performing data analysis. The specialist will resolve employee inquiries by interpreting compensation and benefit policies and procedures and will develop and implement communication plans for the benefits programs.

Responsibilities

  • Functions as a subject matter expert for the HEWT benefit plans.
  • Responsible for summary plan document maintenance, policy and procedure updates and interpretations.
  • Provides cross-training assistance and subject matter expert decision-making support to administrative staff.
  • Responsible for issue resolution and related communications to appropriate stakeholders.
  • Responsible for contract support including working with plan counsel to coordinate legal opinions when necessary.
  • Maintains compliance with Collective Bargaining Agreements and must effectively interface with Labor Relations teammates.
  • Provides new hire orientation presentations, management training and related support as needed.
  • Prepares special reports by collecting, analyzing and summarizing information as necessary.
  • Teams regularly with other departments and contractors.
  • Pulls PeopleSoft HRIS database queries and performs data analysis.
  • Resolves employee questions and problems by interpreting compensation and benefit policies and procedures.

Requirements

  • BA/BS degree plus three years of experience, or an equivalent combination of education and experience.
  • Experience administering health care plans.
  • Entry level proficiency with Microsoft Office products: Outlook, Word and Excel.
  • Evidence of strong customer service and interpersonal skills.
  • Demonstrated effective attention to detail.
  • Ability to handle sensitive and confidential information appropriately.

Nice-to-haves

  • HR certification (e.g., PHR/SPHR, SHRM-CP/SHRM-SCP).
  • Experience in benefits management.
  • Experience with HRIS (PeopleSoft or other).
  • Intermediate to advanced level proficiency with Microsoft Office products: Outlook, Word and Excel.
