About the position

The Human Resources Specialist III position at the Center for Education Services is responsible for managing personnel actions throughout the employee lifecycle, including onboarding new employees and maintaining communication regarding HR policies and procedures. This role requires strong organizational skills and the ability to handle sensitive information with confidentiality.

Responsibilities

  • Responds to employee inquiries about WCPS policies and procedures.
  • Review and enter all personnel actions/payroll information and changes into the HRIS relating to new employees, transfers, salary changes, reclassifications, and resignations/retirements.
  • Maintain and update position control records.
  • Prepares staff changes/personnel actions for superintendent and board review and forwards to appropriate staff upon approval.
  • Coordinates and participates in the onboarding of new employees.
  • Maintains accurate and up-to-date personnel files and related documents.
  • Administers, monitors the return of, and distributes all required pre-employment and onboarding forms.
  • Follows up on any discrepancies in previous experience to verify salary placement and communicates with the appropriate human resources administrator.
  • Prepares, distributes, and manages appropriate forms for payroll adjustments for coaches, team/department leaders, and extra-curricular activities.
  • Coordinates the hiring of coaches with other HR staff.
  • Calculates employee retroactive sick leave, personal leave, and annual leave days of employees hired late or leaving before the end of a contract year and communicates this information to employees.
  • Coordinates with benefits staff on employee leaves of absence and hour increases/decreases for employees.
  • Prepares correspondence, copies of personnel files, documents, information for state reporting requirements, and other reports as requested by human resources administrators.
  • Assists the human resources staff with other general office duties.
  • Demonstrates courteous and professional demeanor to all stakeholders of Washington County Public Schools.
  • Performs other duties as assigned.

Requirements

  • High School Diploma/GED.
  • Five (5) years of successful clerical experience and/or advanced training.
  • Demonstrated skills in various software and electronic communication tools, including MS Office Suite (Outlook, Word, Excel, PowerPoint, etc.) and Google Apps.
  • Proficient word-processing skills with the ability to produce grammatically correct documents and correspondence.
  • Ability to maintain strict confidentiality of sensitive employee information.
  • Ability to multitask, organize, and prioritize within a fast-paced office environment.
  • Strong verbal and written communication skills, including phone, email, and in-person interactions.
  • Demonstrated positive human relations skills.
  • Ability to manage and carry out projects within the department as assigned by human resources administrators.
  • Regular and predictable attendance is an essential function of this position.
  • Ability to perform the essential functions of the job with or without reasonable accommodations.

Nice-to-haves

  • AA Degree.
  • Experience in human resource environment.
  • Experience maintaining a Human Resources Information System (HRIS).
