About the position

The Human Resources Specialist position at UTMB Health is designed to provide general-level expertise and analysis of the administrative and business activities related to core processes within HR Shared Services. This role is crucial in ensuring the process and operational continuity of entity and department-level transactions. The specialist will be responsible for developing and maintaining Standard Operational Procedures (SOPs) for the HR Business Service Center, ensuring that these procedures are updated as needed for greater efficiency and compliance with internal stakeholders and relevant federal, state, and UT system regulations. In this role, the specialist will partner with other departments within Human Resources to identify and document best practices for HR Shared Services functions, as well as to resolve any throughput issues that may arise. The position requires a thorough analysis of data related to HR Shared Services work to report on trends and identify areas for improvement. The specialist will write reports for presentation to the Director of HR Benefits & Employee Services and other HR leadership, providing insights that can drive strategic changes in alignment with organizational goals. The specialist will also provide prompt, courteous, and accurate assistance to internal customers, investigating and actively seeking resolutions to their problems and concerns. This role involves coaching, developing, and consulting with employees, team members, and management, while working cross-functionally across various shared services areas according to demand. Adherence to all UTMB and HR Shared Services policies, procedures, and standards is essential, including time management, supply management, productivity, and accuracy of practice. Additionally, the specialist will maintain required documentation relating to customer interactions and promote individual professional growth and development by meeting requirements for mandatory and continuing education. Participation in project teams and special projects as requested by leadership is also a key aspect of this role. Overall, the Human Resources Specialist will play a vital role in supporting the HR Shared Services team and contributing to the success of the organization.

Responsibilities

  • Develops and maintains Standard Operational Procedures (SOPs) for HR Business Service Center, updating SOPs as needed for efficiency and compliance.
  • Partners with other departments in Human Resources to identify and document best practices for HR Shared Services functions and resolve throughput issues.
  • Studies and analyzes data on HR Shared Services work to report on trends and identify areas for improvement, writing reports for HR leadership.
  • Provides prompt, courteous, and accurate assistance to internal customers, investigating and resolving their problems and concerns.
  • Evaluates plans and programs within the HR Business Service Center and makes recommendations for strategic changes.
  • Develops and maintains accurate information within the Human Capital Management System (HCM) and HR Business Center Customer Relationship Management System (CRM).
  • Coaches, develops, and consults with employees, team members, and management.
  • Works cross-functionally across shared services areas according to demand.
  • Adheres to all UTMB and HR Shared Services policies, procedures, and standards within budgetary specifications.
  • Maintains required documentation relating to customer interactions.
  • Promotes individual professional growth and development by meeting requirements for continuing education and skills competency.
  • Participates on project teams as assigned or performs special projects as requested by leadership.
  • Adheres to internal controls and reporting structure.

Requirements

  • Bachelor's Degree or equivalent and two years of related experience.
  • Experience with Benefits (Retirement and Insurance).
  • Experience with Peoplesoft systems.
  • Records management experience.

Nice-to-haves

  • Experience in PeopleSoft HCM version 8.8 or higher.
  • Above average knowledge of PS-HCM data structures/modules.
  • Working knowledge of MS Excel.
