About the position

Mitsubishi Electric Trane HVAC US LLC is seeking a Human Resources Specialist to join our team in Suwanee, GA. The HR Specialist will play a crucial role in supporting various human resources functions, including Talent Acquisition, Employee Services, Employment, HR Systems, Records Management, Reporting, and Compliance Programs. This position is essential for ensuring that our HR processes run smoothly and efficiently, contributing to the overall success of our organization. In the area of Talent Acquisition, the HR Specialist will be responsible for processing all transactions in the CLEAR applicant tracking system daily, ensuring the integrity and accuracy of the system while providing technical support. The specialist will coordinate specific positions, prepare interview materials, arrange interviews, and track the status of background screenings and job offers. Additionally, the HR Specialist will prepare communication for newly hired employees, assist in new hire orientations, and ensure compliance with USCIS requirements regarding I-9s and E-Verify. The role also includes administrative support, where the HR Specialist will research and prepare special reports that may require statistical analysis, reconcile payroll reports, track compliance with license and insurance requirements, and manage employee service anniversary awards. The specialist will assist with benefits administration, employee engagement initiatives, and coordinate HR-sponsored events. This position requires a proactive approach to problem-solving and a commitment to maintaining confidentiality and professionalism in all HR matters.

Responsibilities

  • Process all transactions in the CLEAR applicant tracking system for full cycle recruitment.
  • Maintain the integrity and accuracy of the Applicant Tracking System and provide technical support.
  • Serve as coordinator for specific positions and prepare interview materials.
  • Arrange interviews and logistics as needed, tracking status of background screenings and job offers.
  • Prepare communication with newly hired employees, providing new hire materials and answering questions.
  • Notify IT of new hires' equipment needs and support bi-weekly new hire orientations.
  • Prepare termination paperwork and ensure company property is returned according to policy.
  • Partner with HRBP's to maintain training materials and train management and new hires on the Applicant Tracking System.
  • Ensure compliance with USCIS requirements regarding I-9s, E-Verify visas, and work authorizations.
  • Prepare and distribute internal job postings.
  • Research and prepare special reports requiring statistical analysis and evaluation.
  • Reconcile Payroll report with METUS organization chart monthly.
  • Track compliance with license and insurance requirements for employees receiving auto allowance.
  • Ensure proper approval and process for tuition reimbursement, spot bonus awards, and employment verifications.
  • Manage Employee Service Anniversary Awards program and administer HR Records Retention program.
  • Assist with benefits administration and annual open enrollment process.
  • Participate in employee engagement and retention initiatives, including surveys and action planning.
  • Manage METUS HR inbox and assist with internal HR communications.
  • Propose and implement process improvement strategies within the HR Department.
  • Coordinate HR sponsored events and initiatives.

Requirements

  • Bachelor's degree in a related field preferred.
  • Minimum of 2 years of experience in Human Resources with emphasis on Employment Procedures and Employee Relations.
  • Advanced knowledge of Microsoft programs (Word, Excel, Outlook, PowerPoint).
  • Working knowledge of Applicant Tracking System, preferably Clear.
  • Experience using ADP Payroll/HR or similar system preferred.
  • Excellent verbal, written communication, and presentation skills.
  • Service orientation and excellent interpersonal skills.
  • Demonstrated attention to detail and follow-through.
  • Ability to juggle multiple responsibilities effectively.
  • Ability to work with all levels in the organization and maintain confidentiality.

Nice-to-haves

  • Bilingual, Spanish speaking, highly preferred.
  • Working knowledge of state, federal, and wage laws pertaining to Human Resources preferred.
  • Working knowledge in operating Talent Systems such as Success Factors preferred.
