About the position

Convergint is looking for a full-time, enthusiastic, results-driven, and forward-thinking Human Resources Specialist to join our amazing culture. In this role, within Shared Services, you will support the HR department by executing a range of administrative and operational tasks related to colleague services, onboarding, and data management. This role is essential in providing high-quality support to colleagues and managers across the organization, ensuring HR processes and policies are implemented effectively and efficiently. This position will also serve as a help desk for basic HR policy information and will work to resolve or escalate issues as needed. As a Human Resources Specialist, you are a part of a dynamic team that allows you to grow as Convergint grows. You will be the first point of contact for colleague inquiries related to HRIS transactions and HR policies via phone and email. Your responsibilities will include assessing colleague questions to determine the nature of the problem and resolving issues or escalating them to higher levels of technical/functional support. You will provide timely and accurate information to colleagues and managers on HR-related issues, initiate the onboarding platform within UKG for new hires, assist with colleague exit processes, and manage background checks and drug testing processes. Additionally, you will support the administration of colleague benefits programs, maintain colleague records, ensure compliance with legal and company standards, and update and maintain HRIS with accurate colleague information. You will also be responsible for generating HR reports as needed for internal stakeholders and conducting audits of colleague data to ensure completeness and accuracy. This role requires strong interpersonal and communication skills, proficiency in Microsoft Office Suite and HRIS systems, and a solid understanding of HR laws and regulations.

Responsibilities

  • Serve as the first point of contact for colleague inquiries related to HRIS transactions and HR policies via phone and email.
  • Assess colleague questions to determine the nature of the problem and resolve issues or escalate to higher levels of technical/functional support.
  • Provide timely and accurate information to colleagues and managers on HR-related issues.
  • Initiate the onboarding platform within UKG for new hires.
  • Assist with colleague exit processes and final paperwork.
  • Complete password resets and role assignments in UKG.
  • Log and track calls to identify areas for improvement in HR process training and reference guide materials.
  • Coordinate and manage pre-employment background checks and drug testing processes.
  • Communicate with candidates and external vendors to facilitate timely completion of screenings.
  • Ensure compliance with legal and company standards throughout the screening process.
  • Support the administration of colleague benefits programs, including health insurance and retirement plans.
  • Maintain colleague records and ensure that all HR documentation complies with legal and company standards.
  • Update and maintain HRIS with accurate colleague information.
  • Process and maintain colleague status, position changes, and pay rate changes in the HRIS system.
  • Facilitate I-9 processing/documentation for new hires and reverifications for current colleagues.
  • Provide weekly, monthly, and quarterly reports on HR metrics and data.
  • Conduct audits of colleague data to ensure completeness and accuracy.

Requirements

  • Bachelor's degree in Human Resources, Business Administration, or related field experience; or equivalent work experience.
  • 2-5 years of previous experience in Human Resources, with HR Shared Services experience preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and HRIS systems (UKG).
  • Strong interpersonal and communication skills.
  • Knowledge of HR laws, regulations, and best practices.
  • Attention to detail and ability to maintain confidentiality.
  • Ability to work independently, multi-task, and prioritize.
