About the position

The Human Resources Specialist position at Vessel Operations Coastal Villages Region Fund (CVRF) is a full-time role focused on providing comprehensive support to the vessel operations team. This position is integral to the HR department, particularly in the recruitment and onboarding processes for crew members. The HR Specialist will work closely with the HR Supervisor to ensure that all aspects of the recruitment process are handled efficiently and effectively. This includes maintaining accurate files, executing orientations, scheduling crewmember rotations, administering drug tests, making travel arrangements, and fostering crew member engagement. In the recruiting function, the HR Specialist will partner with vessel hiring managers to facilitate timely crew recruitments for assigned vessels. This involves identifying and attracting quality applicants through various advertising programs, including traditional and nontraditional resources such as career fairs and online platforms. The specialist will screen resumes, assist in interviews, and monitor job postings to ensure that all positions are filled promptly. Additionally, the role requires compiling all necessary paperwork during the recruitment process, including interview notes and pre-employment screenings. The human resources function of this role includes initiating onboarding events, administering hiring paperwork, and facilitating vessel orientations. The HR Specialist will also be responsible for booking travel arrangements for crew members and completing necessary documentation for accounting and U.S. Coast Guard purposes. This position requires a strong understanding of current laws to avoid legal challenges and the ability to develop new programs to assist the HR department's needs. The HR Specialist will also assist in workplace investigations and maintain communication with various departments regarding vessel operations. Overall, this role demands a high level of organization, attention to detail, and the ability to work collaboratively within a team environment. The HR Specialist must be adaptable and willing to learn, with a strong desire to excel in their responsibilities.

Responsibilities

  • Partner with vessel hiring managers to facilitate timely crew recruitments for assigned vessels.
  • Identify and attract quality applicants by developing advertising programs utilizing traditional and nontraditional resources.
  • Determine applicant qualifications by studying job descriptions and requirements, screening resumes, and assisting in interviews.
  • Monitor and maintain job postings, closing job requisitions when filled, and updating applicant activity.
  • Participate in interviews, conduct reference checks, and relay any reference concerns to the Supervisor.
  • Compile all paperwork involved during the recruitment process, including interview notes and pre-employment screenings.
  • Enroll employees in the workplace health system and assist with the screening process.
  • Initiate onboarding events and administer hiring paperwork and contracts to crew.
  • Facilitate vessel orientation and preparation for departure.
  • Book travel arrangements for crew members, including air travel and lodging.
  • Complete pre-/post-trip and season documentation for accounting and U.S. Coast Guard purposes.
  • Monitor crew member onboard expenses for payroll deduction and perform monthly reconciliation of travel expenditures.
  • Assist in HRIS Administration tasks for crew support, verifying new hire information accuracy.
  • Develop new programs to better assist the HR department's needs and assist in workplace investigations.
  • Provide continual communication of all assigned vessel arrivals and departures with various departments.

Requirements

  • High school diploma or GED equivalent.
  • 2 years of previous general office experience.
  • Previous Human Resources experience in Alaskan Fisheries is strongly preferred.
  • Strong verbal and written communication skills.
  • Good working knowledge of Office 365 (Excel, Word, Outlook).
  • Experience with HRIS software is a plus.
  • Ability to represent the company in a professional manner.
  • Strong organizational skills with the ability to prioritize multiple tasks.
  • Willingness to learn and remain flexible in a team environment.
  • Attention to detail and accuracy in work.

Nice-to-haves

  • Experience in vessel operations or maritime HR functions.
  • Bilingual in French or Spanish is a plus.
